We are looking for a motivated and organised Freight Administrator to join our operations team. This role is ideal for someone with strong administrative skills and experience in the transport or logistics industry.
Job Description
The Freight Administrator will support the day-to-day administration of transport operations, ensuring freight movements are coordinated efficiently and customer requirements are met. The successful candidate will work closely with transport planners, drivers, customers, warehouses, and management to maintain smooth logistics operations.
Key Roles & Responsibilities
- Coordinate daily freight bookings, collections, and deliveries.
- Process customer transport requests and allocate jobs accurately.
- Prepare transport documentation including delivery notes, manifests, invoices, and shipment records.
- Monitor vehicle movements using GPS tracking and transport management systems.
- Liaise with drivers regarding delivery schedules, route changes, delays, and operational issues.
- Maintain accurate transport records and update internal systems.
- Monitor and obtain Proof of Delivery (POD) documentation.
- Communicate professionally with customers regarding shipment status and service updates.
- Assist with route planning and scheduling to maximise operational efficiency.
- Handle customer enquiries, complaints, and service requests promptly.
- Maintain freight records and ensure documentation complies with company procedures.
- Support invoice preparation and freight cost reconciliation.
- Prepare daily, weekly, and monthly operational reports.
- Coordinate with warehouse staff to ensure timely loading and unloading of freight.
- Ensure compliance with transport regulations, health & safety standards, and company policies.
- Support the Operations Manager with administrative duties and operational improvements.

- Experience using Transport Management Systems (TMS) or logistics software.
- Strong data entry and record management skills.
- Knowledge of freight documentation and transport administration.
- Experience using courier management systems is advantageous.
Minimum Qualifications
- Minimum 2 years' experience in freight administration, transport administration, logistics coordination, courier operations, or a similar administrative role.
- Good understanding of UK transport operations and freight documentation.
- Excellent written and spoken English.
