Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is vital in ensuring the smooth operation of our administrative functions and providing exceptional support to our staff and clients. Responsibilities
- Manage incoming calls with professional phone etiquette, directing enquiries appropriately
- Handle data entry tasks accurately using programmes such as Microsoft Office, Excel etc
- Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
- Assist with scheduling appointments, meetings, and maintaining calendars for staff members
- Prepare correspondence, reports, and other documents as required
- Support invoicing and financial record keeping through Xero or similar accounting software
- Coordinate office supplies procurement and inventory management
- Provide general administrative support to team members to facilitate efficient workflow
Skills
- Proven office experience with strong organisational skills
- Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
- Excellent typing speed and data entry accuracy
- Strong administrative experience with the ability to handle multiple tasks simultaneously
- Exceptional phone etiquette and communication skills
- Ability to work independently with minimal supervision while maintaining attention to detail
- Good understanding of clerical procedures and organisational policies
- Ability to adapt quickly to new software programmes and office systems
