The Practice Administrator will provide flexible back-office administrative support across the practice to help ensure the smooth and efficient running of the surgery.
This is a varied administrative role which will involve supporting different areas of the practice depending on service need. The role forms part of the wider administrative team and the post holder will not be solely responsible for each area listed. The duties below reflect the range of tasks the post holder may be asked to support with, depending on workload, absence, service need and their level of training and experience.
Duties may include secretarial support, clinical coding, private reports administration, processing patient registrations and other back-office administrative tasks.
This is not a reception role and does not involve routine reception cover, front desk work or answering the main reception telephone lines.
The successful candidate will have a positive, can-do attitude, excellent attention to detail and the ability to work well as part of a busy team. They will be flexible, organised and willing to support colleagues across different administrative areas as required.
Key ResponsibilitiesSecretarial Support
· Provide support to the medical secretarial team as required.
· Assist with referrals, patient correspondence, documentation and follow-up tasks.
· Support the processing of clinical letters, reports and other patient-related documentation.
· Liaise with patients, clinicians, hospitals and external organisations where appropriate.
· Escalate queries or concerns to the relevant colleague, clinician or manager.
Private Reports
· Support the administration of private reports, medical forms, insurance reports and other non-NHS work.
· Track private work requests to ensure they are progressed and completed in a timely manner.
· Communicate with patients, third parties and clinicians regarding private work where required.
Patient Registrations
· Assist with new patient registrations, patient deductions and updates to patient demographic details.
· Process online and paper registration forms accurately and in line with practice processes.
· Help ensure registration information is complete, correct and entered onto the relevant systems.
· Experience of Healthtech-1 registration software would be helpful but is not essential, as training can be provided.
Clinical Coding
· Assist with clinical coding when required, ensuring information from correspondence and documentation is recorded accurately on the clinical system.
· Follow practice coding protocols and ensure work is completed to a high standard.
· Identify and escalate any unclear or complex coding queries to the appropriate clinician or senior member of staff.
· Support the practice in maintaining accurate patient records and clinical data quality.
Flexible Back-Office Practice Support
· Provide flexible administrative support across different back-office areas depending on workload, absence or service need.
· Work alongside colleagues who also undertake these duties, providing support where needed rather than holding sole responsibility for all areas listed.
· Help manage backlogs or increased workload in areas such as secretarial work, coding, registrations, private work or document processing.
· Work collaboratively with colleagues and contribute to a supportive team environment.
· Be willing to take on additional administrative duties appropriate to the role as required by the practice.
· Ensure all work is completed accurately, efficiently and in accordance with practice policies and NHS guidance.

Desirable Skills and Experience
· Previous experience working in a GP practice, NHS or healthcare setting.
· Experience using SystmOne or another clinical system.
· Knowledge or experience of clinical coding.
· Knowledge of medical terminology.
· Experience supporting medical secretaries or referral processes.
· Experience with private reports, medical forms or invoicing.
· Experience processing patient registrations.
· Experience using Healthtech-1 registration software.
Additional Information
Full training will be provided where required, including training on SystmOne and relevant practice systems. This role offers an opportunity to develop within a supportive primary care environment and to gain experience across a wide range of GP practice administration.
The post holder will be expected to work flexibly across back-office administrative areas depending on operational need
Pay: £12.71-£13.50 per hour
