Due to continued growth, we are looking to recruit an experienced and highly organised Finance & Business Support Coordinator to join our team.
This is a key position within the business, responsible for overseeing Lucent's day-to-day finance administration while providing accurate business information and administrative support to the Directors.
Purpose of the Role
To ensure the efficient operation of Lucent's finance and business support functions. Working closely with the Directors and external accountants, you will maintain accurate financial records, coordinate client invoicing, manage supplier payments and credit control, prepare payroll information and produce meaningful management information that supports informed business decisions.
Client Occupancy Records & Invoicing
· Maintain accurate records of residents occupying each property.
· Record all move-ins, move-outs and transfers promptly.
· Prepare weekly and monthly invoices for local authority clients.
· Resolve invoicing queries professionally.
· Ensure invoices are issued accurately and on time.
Purchase Ledger & Finance Administration
· Process supplier invoices using Xero.
· Maintain the purchase ledger.
· Reconcile supplier statements.
· Prepare payment schedules for Director approval.
· Monitor supplier balances.
· Perform bank reconciliations.
· Assist with month-end accounting processes.
Credit Control
· Monitor outstanding customer invoices.
· Chase overdue payments professionally.
· Maintain an aged debtor report.
· Liaise with council finance departments regarding payment queries.
Payroll Administration
· Collate staff hours, annual leave, overtime and statutory payments.
· Prepare payroll information for the external accountants.
· Maintain accurate payroll records.
Management Information
· Prepare monthly reports covering turnover, gross profit, occupancy, invoicing, debtors, creditors, bank balances, cash receipts and key business performance indicators.
· Assist with additional financial reporting requested by the Directors or external accountants.
Business Support & Administration
· Maintain organised electronic filing systems.
· Manage correspondence and enquiries.
· Maintain company records.
· Provide administrative support to the Directors.
· Identify opportunities to improve efficiency and business processes.
Skills & Experience
Essential:
· Previous experience in a finance and business administration role.
· Excellent working knowledge of Xero.
· Strong Microsoft Excel skills, including formulas, data analysis and report preparation.
· Good working knowledge of Microsoft Word.
· Excellent numerical and analytical ability.
· Experience processing purchase and sales invoices.
· Experience of credit control.
· High level of accuracy and attention to detail.
· Excellent organisational and time management skills.
· Ability to work independently and use initiative.
Desirable:
· AAT Level 3 or 4 qualification (or working towards one).
· Experience preparing monthly management reports.
· Experience working with local authority clients.
· Payroll administration experience.
· Experience working within a growing SME.
