The Role
As a Dental Receptionist, you will often be the first and last point of contact for our patients, making you an essential part of their experience with Whitefield Dental Practice.
This is much more than simply answering the telephone and booking appointments.
You'll be responsible for helping manage the patient journey from initial enquiry through to treatment and ongoing care, while supporting the wider team in ensuring the practice operates efficiently.
Our practice can be fast-paced, so we're looking for someone who can confidently manage multiple priorities while remaining calm, professional and welcoming.
Key Responsibilities
Your responsibilities will include:
- Welcoming patients warmly and professionally into the practice.
- Answering incoming telephone calls, WhatsApp messages, emails and patient enquiries.
- Providing patients with accurate information about our services, appointments and fees.
- Managing the appointment diary efficiently and proactively.
- Booking, amending and confirming patient appointments.
- Helping minimise diary gaps and making effective use of available clinical time.
- Following up patient enquiries and outstanding appointments where appropriate.
- Supporting patients with treatment bookings and next steps following consultations.
- Processing patient payments accurately and completing daily administrative and cashing-up procedures.
- Communicating treatment and finance options clearly within the boundaries of the role.
- Supporting patients with finance applications and payment arrangements where appropriate.
- Maintaining accurate patient records and correspondence using Dentally.
- Ensuring medical histories, treatment plans and other required documentation are completed appropriately.
- Following practice procedures regarding cancellations, deposits and failed appointments.
- Liaising closely with clinicians, nurses and the wider team throughout the working day.
- Maintaining patient confidentiality and complying with GDPR requirements.
- Helping maintain a professional, organised and welcoming reception and waiting area.
- Following practice SOPs and administrative procedures consistently.
- Identifying problems and taking ownership of resolving them or escalating them appropriately.
- Contributing ideas and feedback that can improve efficiency, patient experience and the overall success of the practice.
About You

Previous experience within dental reception or private healthcare would be advantageous, although we are equally interested in candidates with strong customer service, hospitality or administrative experience who demonstrate the right attitude and transferable skills.
Experience using Dentally would be beneficial but is not essential.

Our Incentive Programme

Alongside your normal salary, we operate a staff incentive programme, providing opportunities to earn additional rewards for eligible activities and achievements within the practice.

Working Hours
Our practice opening hours are:
- Monday: 9:00am – 6:00pm
- Tuesday: 9:00am – 8:00pm
- Wednesday: 9:00am – 6:00pm
- Thursday: 9:00am – 6:00pm
- Friday: 8:00am – 3:00pm
- Saturday: 9:00am – 1:00pm
The position requires flexibility across our opening hours, including participation in our Saturday rota, which is typically 1 in every 5 Saturdays.
Saturday shifts are paid at 1.5x your normal hourly rate.
There may also be opportunities to work occasional Sunday clinics should you wish to do so. Sunday working is optional and is not a contractual requirement or expectation of the role.
