We are seeking a professional, confident and highly organised Patient Care & Sales Coordinator to support the day-to-day running of a busy private healthcare service.
The successful candidate will act as a key point of contact for patients, managing enquiries, appointments and administrative tasks while helping prospective patients understand the services available and progress suitable enquiries into confirmed bookings.
This role requires someone who is warm and reassuring with patients, commercially aware and confident discussing services, prices and booking options without using pressure-selling techniques.
Key Responsibilities
- Welcome patients and provide a friendly, professional and reassuring experience.
- Manage appointment bookings, rescheduling and cancellations.
- Respond to telephone calls, emails and patient enquiries promptly and professionally.
- Explain available services, packages, prices and appointment options clearly.
- Follow up new enquiries and help convert suitable enquiries into confirmed appointments.
- Identify opportunities to inform patients about relevant services where appropriate.
- Encourage suitable follow-up appointments and repeat bookings.
- Provide accurate information without offering clinical advice outside the limits of the role.
- Confirm patient details and ensure records are accurate and up to date.
- Process patient paperwork, consent forms and clinic documentation.
- Take and process payments accurately.
- Coordinate communication between patients and clinical staff.
- Support the smooth flow of patients through the clinic.
- Provide patients with appropriate appointment preparation and follow-up information.
- Maintain patient confidentiality and comply with data-protection requirements.
- Keep reception, waiting and administrative areas clean, organised and presentable.
- Monitor office and clinic supplies and report when stock requires replenishment.
- Support promotional activity, patient follow-ups and service campaigns when required.
- Follow clinic policies relating to safeguarding, infection control, health and safety and confidentiality.
Essential Requirements
- Previous experience in sales, customer service, reception, administration or appointment booking.
- Confident discussing services, prices and booking options with prospective patients.
- Ability to convert enquiries into bookings in a professional and patient-focused manner.
- Excellent verbal and written communication skills.
- Friendly, confident and empathetic when dealing with patients.
- Strong organisational skills and attention to detail.
- Able to manage appointments, records and multiple enquiries accurately.
- Comfortable following up prospective patients by telephone, email or message.
- Able to remain calm and professional in a busy environment.
- Reliable, punctual and well presented.
- Comfortable using computers, email and appointment-booking systems.
- Ability to handle confidential and sensitive information appropriately.
- Able to work independently and as part of a team.
- Availability to work some weekends.
Desirable Experience
- Previous experience working in a private clinic, GP surgery, dental practice, hospital or other healthcare environment.
- Experience in consultative sales, appointment conversion or service-based sales.
- Experience using patient-management or appointment-booking software.
- Experience handling payments and invoices.
- Knowledge of patient confidentiality, data protection and safeguarding.
- Experience supporting healthcare professionals or clinical teams.
- Full UK driving licence and access to a vehicle.
