Job Overview
The Office Administrative Assistant will provide day-to-day administrative and operational support across the business, helping to ensure the smooth running of the office and supporting our EV Charging and Solar PV operations.
The role involves handling customer enquiries, managing appointments and documentation, preparing quotes and invoices, monitoring payments, liaising with engineers, subcontractors and suppliers, and providing general administrative support to the Directors, Operations Manager and wider team.
We are looking for someone who is highly organised, proactive and dependable, with strong problem-solving skillsand the ability to use their own initiative. Excellent customer service and communication skills are essential, as the role involves regular interaction with customers, engineers, subcontractors and other members of the team.
The successful candidate should be able to manage multiple tasks and priorities effectively, remain professional under pressure and take a practical, solutions-focused approach to day-to-day challenges.
This is a full-time, permanent position and working hours will be 9am - 5pm, Monday to Friday.
DUTIES & RESPONSIBILITIES
Your duties will include, but are not limited to:
General Administration & Office Support
- Acting as a first point of contact for incoming telephone and general office enquiries and ensuring all enquiries are handled professionally.
- Managing company email correspondence and responding to general enquiries as appropriate.
- Providing administrative support to the Directors, Operations Manager and wider team as required.
- Creating and issuing customer quotes for works to be carried out.
- Creating and issuing customer invoices for works carried out.
- Monitoring expected payment dates and outstanding balances.
- Contacting customers regarding payments where required.
- Maintaining accurate records of invoices and payments received.
- Providing information and updates to the Directors regarding customer enquiries, invoices and payments as requested.
- Assisting with basic financial and administrative reporting where required.
- Managing diaries, appointments and scheduling business meetings.
- Organising business travel, accommodation and meetings where required.
- Establishing and maintaining appropriate electronic filing and record-keeping systems.
- Managing and maintaining company documentation, records and files.
- Carrying out general office administration and assisting with the day-to-day running of the office.
Customer & Operational Support
- Supporting the Operations Manager with administrative duties relating to EV Charging and Solar PV installations.
- Assisting with customer enquiries, updates and follow-ups.
- Liaising with customers regarding appointments, installations, documentation and other requirements.
- Coordinating information between customers, engineers and the office to support the smooth delivery of works.
- Ensuring relevant job documentation and records are received, filed and maintained appropriately.
- Following up outstanding information or documentation required from customers, engineers or subcontractors.
Engineer & Subcontractor Administration
- Assisting with the onboarding of new engineers and subcontractors.
- Organising and ordering uniforms and other required company items.
- Maintaining relevant engineer and subcontractor documentation and records.
- Assisting with the coordination of engineers and subcontractors where required.
- Supporting the wider operations team with administrative requirements relating to field staff.
Marketing & Business Support
- Assisting with company marketing and social media updates where required.
- Liaising with suppliers and other external parties on behalf of the company.
- Providing general administrative support across the business as reasonably required.
- Must have a full UK driving licence (essential criteria)
- Must have administrative experience (essential criteria)
- Experience in EV Charging and Solar PV or the desire to learn (desirable criteria)
