Job Summary
We are seeking a dynamic and organised Part Time Office Administrator / PA to join our team in Chingford, London. This role offers an exciting opportunity to support daily office operations, streamline administrative processes, and ensure a productive work environment within the Construction Industry. Duties
- Oversee the daily operations of the office, ensuring an efficient and well organised working environment.
- Manage office supplies, equipment, and facilities, liaising with external suppliers and service providers.
- Implement and maintain office systems, processes, and procedures to improve efficiency. Maintain a high level of document management and record keeping in line with OCGs processes.
- Invoicing and assistance with managing timesheets.
- Provide high-level administrative support OCG’s Director and senior members of staff, including diary management and scheduling.
- Coordinate meetings, prepare agendas, and take minutes where required.
- Manage correspondence, including emails, calls, and document preparations. Arrange travel and accommodation.
- Assist with onboarding of new staff, including workspace setup and documentation.
- Handle confidential information with discretion and professionalism.
- Any other ad hoc duties required by the Director or OCG project teams.
- Proven experience with administrative tasks and office management in a professional setting
- Strong organizational skills with the ability to multitask and prioritize effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other accounting software for financial record keeping
- Excellent data entry skills with high accuracy and attention to detail
- Knowledge of clerical procedures including filing systems and document management
- Exceptional phone etiquette and communication skills for interacting with clients, vendors, and team members
- Adept at typing quickly and accurately to support various administrative functions
