Boom Sports delivers sports coaching, wraparound care, holiday camps and children's parties across West London.
We're looking for an organised and proactive Office Administrator to become a key member of our team. This is a varied role supporting the smooth running of the business, working closely with parents, schools, staff and management across administration, bookings, customer service, finance administration and logistics.
The ideal candidate will enjoy taking ownership of tasks, maintaining high standards of organisation and helping create great experiences for the children, families and schools we work with.
Key Responsibilities
Administration & Systems
- Maintain spreadsheets: attendance, finance, holiday camp attendance, recording and monitoring staff attendance.
- Manage inventory: uniforms, party supplies, office supplies, sports equipment.
- Keep calendars, task boards (Monday.com), and resource printing up to date.
- Keep business records, resources and documentation up to date.
- Upload payslips and prepare monthly staff hours for payroll.
Parent & School Support
- Respond to parent and school enquiries by phone and email.
- Support parents with bookings and general enquiries.
- Liaise with schools regarding registers, bookings and updates.
- Communicate daily register updates and important information to staff.
Finance & Bookings
- Invoice schools and maintain accurate booking records.
- Reconcile payments and manage receipt documentation.
- Manage the Magic Booking platform, including activities, bookings and parent communications.
Staff Administration
- Support onboarding and offboarding processes.
- Prepare contracts and employment paperwork.
- Contact referees and coordinate staff inductions.
- Manage uniform distribution and collections.
Logistics & Events
- Manage stock levels of uniforms, equipment and office supplies.
- Coordinate weekly food and resource orders.
- Source and book venues for children's parties and events.
Marketing & Communications
- Update website content and third-party listings.
- Support outreach to parents and schools.
- Write and publish a weekly blog post.
About You
You'll be:
- Highly organised and meticulous.
- Confident using spreadsheets and administrative systems (e.g. Microsoft Office Suite, Google Workspace, Monday.com, Magicbooking, Dropbox).
- Comfortable communicating with parents, schools and staff.
- Able to prioritise multiple tasks and meet deadlines.
- Proactive, reliable and able to work independently.
- A strong written and verbal communicator.
Required Experience
- Administration, office support or customer service experience.
- Experience in the education or childcare sector.
- Payroll, invoicing or finance administration experience.
