Job Purpose
The Receptionist is responsible for providing a professional, welcoming, and efficient front-of-house service while ensuring the smooth day-to-day operation of the reception area. The role involves greeting visitors, managing access and enquiries, handling calls and correspondence, and maintaining a high standard of professionalism at all times.
Key Responsibilities
- Welcome and assist visitors, clients, contractors, and staff in a professional and courteous manner.
- Manage the reception desk and ensure the area remains clean, organised, and presentable.
- Answer and direct telephone calls and enquiries appropriately.
- Manage visitor and contractor sign-in and sign-out procedures.
- Issue and collect visitor or contractor passes where required.
- Verify visitor details and ensure appropriate access procedures are followed.
- Notify relevant staff when visitors or contractors arrive.
- Maintain accurate reception records, logs, and handover information.
- Monitor access to the building and report any unusual or unauthorised activity.
- Handle deliveries and direct them to the appropriate department or location.
- Maintain confidentiality when dealing with sensitive information.
- Liaise professionally with security, facilities, management, and other departments.
- Assist with emergency procedures and follow site-specific instructions.
- Report incidents, maintenance issues, or security concerns promptly.
- Ensure all company and client procedures are followed consistently.
- Maintain a professional appearance in accordance with the company's uniform and grooming standards.
- Remain attentive and focused throughout the shift, particularly during busy periods.
- Carry out any other reasonable duties required by management.
Customer Service
The Receptionist is often the first point of contact for visitors and clients and is therefore expected to maintain a high standard of customer service at all times.

Compliance & Professional Standards
The Receptionist is expected to comply with all company policies, site procedures, health and safety requirements, and client instructions.
Personal mobile phone use while on duty should be restricted in accordance with company policy, and the Receptionist must remain attentive and available to assist visitors and staff.
Skills & Experience
Essential:
- Previous experience in reception, customer service, administration, security, hospitality, or a similar front-of-house environment.
- Excellent verbal and written communication skills.
- Good organisational and time-management skills.
- Professional appearance and manner.
- Ability to work independently and as part of a team.
- Good IT and administrative skills.
- Ability to remain calm under pressure.
Desirable:
- Previous experience within a corporate, commercial, retail, or security environment.
- Experience using visitor management or access-control systems.
- First Aid or other relevant workplace qualifications.
