Full Job Description
Applicants are invited to apply for the post to provide comprehensive administrative support to The Oxford Institute, an organisation founded by academics and alumni from the University of Oxford. We are accredited by the British Accreditation Council as a further education and short-course provider. We have been organising summer programmes in Oxford, London and East Asia. All of our programmes are conducted by world-renowned academics associated with the University of Oxford and provide a unique experience to our students to broaden their horizons and experience by studying at a world-leading centre of education.
Working Hours
16 hours per week, with a defined schedule for most of the week. If meetings are scheduled with partners or clients, some flexibility may be requested in advance.
Monday: 10am–2pm
Tuesday: 10am–2pm
Wednesday: 10am–2pm
Thursday: 10am–12pm
Friday: 10am–12pm
The Role
- Communication with prospective applicants, partners, and colleges
- Supporting the recruitment of students, including assisting with presentations to prospective applicants, partners, and colleges, and helping achieve organisational sales targets
- Acting as secretary to the Programme Director
- Liaison, on behalf of designated members of the executive team, with students, their parents, and external organisations as appropriate by telephone, letter, email or in person
- Responsibility for the administration of all academic recruitment and selection activity
- A brief daily check-in with the Programme Director, along with a standing weekly team meeting
- Supporting the Programme Director in expanding outreach, including bringing new partners on board, and helping convert existing applications into enrolments to meet organisational targets
About You
The ideal candidate will be an enthusiastic, hardworking and self-motivated person with excellent organisational, administrative and communication skills (in person, over the phone, and via email). Strong IT skills and a willingness to learn our CRM system are essential. This is a position of responsibility requiring IT and data entry skills, as well as the ability to draft and type correspondence, reports and other documentation with skill and accuracy. You will be expected to liaise with parents, guardians and students, as well as your professional colleagues, in a positive and helpful manner.
A background in sales and marketing is desirable. Confidence and comfort with public speaking is also desirable, given the role's involvement in recruitment presentations.
You will be expected to manage the day-to-day running of the Institute's general office duties, ensuring all tasks are kept up to date and available for staff.
Location
This role is remote, with Oxford-based candidates preferred given the requirement for occasional in-person meetings. During the delivery of the summer programme , the post holder must be physically present on campus in Oxford, with all expenses paid.
