Job Overview
We are seeking a highly organised and service-focused HR Administration Manager to lead the delivery of an effective, accurate and compliant HR administration service.
Reporting to the HR Operations Lead, you will manage a team responsible for providing high-quality people administration support across the organisation. This is a key role in ensuring our HR processes are efficient, our people data is accurate, and our services support colleagues and managers to deliver the best outcomes for our residents.
You will play an important part in strengthening HR operations, improving processes, supporting compliance activity and ensuring the team delivers a consistent, professional and customer-focused service.
Duties
- Manage, support and develop the HR administration function to deliver high-quality, accurate and consistent services.
- Lead the day-to-day delivery of HR administration activity, including procurement, purchasing, invoice payment, meeting management and minute taking.
- Set standards across the team, embedding a culture of accuracy, customer service and continuous improvement.
- Ensure HR documentation, letters and communications are accurate, well written and supported by effective record keeping.
- Oversee HRIS data quality, ensuring people data and staffing establishment information is accurate and well maintained.
- Support monthly payroll activity by ensuring timely and accurate data input in line with payroll deadlines.
- Provide reports, insights and trend analysis to support workforce planning, service improvement and decision-making.
- Manage key compliance processes including DBS, Right to Work, SM&CR, declarations of interest, appraisals and night worker health checks.
- Support people-related Data Protection Subject Access Requests, ensuring compliance with legislation and policy.
- Contribute to department, internal and external audits, ensuring processes are well governed and risks are managed.
- Review HR processes on an ongoing basis, identifying opportunities to simplify, automate and improve service delivery.
- Work collaboratively with colleagues across HR and the wider organisation to align people services with business priorities.
- Manage the HR SharePoint hub, data retention activities and standard operating procedures to ensure consistency and reduce risk.
Skills
- Significant experience working in HR, ideally within an HR administration, HR operations or shared services environment.
- Experience of managing, coaching and developing a team to deliver accurate and customer-focused services.
- Strong knowledge of HR systems, people data and the importance of maintaining high levels of data accuracy.
- Proven ability to improve processes, increase efficiency and embed consistent ways of working.
- Good understanding of HR compliance, data protection, governance and regulatory requirements.
- Strong organisational skills with the ability to manage priorities, resources and deadlines effectively.
- Excellent written and verbal communication skills, with the ability to produce clear documentation, reports and insights.
- Confident working with data, identifying trends and using information to improve service delivery.
- Collaborative and proactive approach, with the ability to build effective relationships with managers, colleagues and stakeholders.
- Commitment to inclusion, wellbeing and creating a positive organisational culture.
- CIPD Level 5 qualification or above is desirable.
