About the role
Pathway Lettings is the not-for-profit social lettings agency of Pembrokeshire Care Society, also known as Pembrokeshire Action for the Homeless. We manage around 150 properties across Pembrokeshire, providing affordable homes and supporting landlords and tenants to sustain successful tenancies. Every penny we generate goes back into the charity's work with people who are homeless or at risk of homelessness.
We are looking for an organised, capable Part-Time Letting Agent to join our small team. You will support landlords and tenants through the whole lettings process, keep day-to-day operations running smoothly, and help us maintain the high standards of compliance the role demands.
This is a six-month fixed-term appointment in the first instance. The service is growing, and we expect to be able to offer a longer-term position to the right person as it expands.
What you will be doing
Property management and lettings:
- Marketing properties across relevant platforms to attract suitable tenants
- Managing viewings, check-ins, and check-outs, communicating clearly and professionally with prospective tenants
- Supporting the tenant referencing and identity verification process, and preparing tenancy agreements
- Monitoring and managing void periods to keep vacancies to a minimum
- Acting as the main point of contact for tenants and landlords, responding to enquiries promptly
- Carrying out property inspections and reporting your findings
- Liaising with contractors to arrange repairs and maintenance
- Advising landlords on legal compliance and housing standards
- Keeping accurate records of all properties, tenancies and maintenance work
- Keeping up to date with relevant legislation and making sure properties meet fitness for human habitation, safety and deposit protection requirements
- Issuing rental statements, managing arrears, making sure payment plans are kept to, and managing landlord rent payments
- Conduct property viewings and tours for prospective tenants, providing detailed information about available properties.
- Assist in the preparation of tenancy agreements and related documentation.
- Respond promptly to enquiries via phone, email, or in person, maintaining professional communication at all times.
- Support the advertising of available properties through various channels, including online portals and social media platforms.
- Coordinate with landlords and tenants to facilitate smooth move-ins and move-outs.
- Maintain organised records of property listings, viewings, and tenancy agreements.
- Provide excellent customer service by addressing tenant queries and resolving issues efficiently.
- Support the administration team with general clerical duties as needed.
Wider support:
- Providing general administrative support across the charity. This is a genuine and valued part of the role, not an afterthought.
What we are looking for
Essential:
- Excellent organisational and administrative skills, with strong attention to detail
- The ability to build and maintain good relationships with landlords, tenants and contractors
- Strong written and verbal communication skills
- Confidence with Microsoft Office, particularly Word, Excel and Outlook, and a willingness to learn property management software
- The ability to work independently and as part of a team, and to keep your head when things are busy
- A full driving licence and access to a car for property visits
Desirable:
- Previous experience in lettings, estate agency, property management, housing or a related administrative role
- An understanding of housing regulations and rental compliance
- Rent Smart Wales certification
We will support the right candidate in gaining Rent Smart Wales certification and building their knowledge of housing compliance. If you have the organisational ability and the people skills but not the sector background, we would still like to hear from you.
