Location: Cardiff – Gwaelod-Y-Gath (CF15 9AA)
Average Hours per Week: 21
Contract: Permanent
Shift Pattern: Tuesday, Thursday and Friday. Alternating shift pattern 08:00-16:00 and 10:00-18:00 with a hour unpaid lunch.
Job Summary
We are seeking a proactive Office Administrator to join our team, primarily focusing on processing direct insurance claims. The ideal candidate will possess strong organisational skills and a solid understanding of office procedures.
Purpose of Position:
To deliver administrative support in processing direct insurance claims to the highest standards. As an Office Administrator, you are expected to help run a smooth and organised office, provide effective and efficient administrative support to all teams as required.
Duties/Responsibilities will include:
- Dealing with client queries via email, telephone or face to face.
- Monitoring the insurance admin mailbox.
- Sending invoices / statements
- Arranging necessary refunds
- Follow reasonable requests given by leadership team when requested.
Coordinating direct insurance claims:
- Preparing Direct Claims
- Liaising with team members, clients and insurance companies to ensure necessary paperwork completed for processing.
- Processing paper and online claim forms
- Monitoring outstanding Direct Claims
- Processing and running practice reports
- Processing payments from clients and insurance companies

Experience
- Proven experience in an office or administrative role is preferred.
- Proficiency in using computerised systems and software, particularly Microsoft Excel and Outlook.
- Strong typing skills with attention to detail in data entry tasks.
- Excellent organisational abilities with a focus on prioritising tasks effectively.
- Demonstrated ability to communicate clearly and professionally both verbally and in writing.
- Familiarity with general office equipment such as printers, scanners, and telecommunication systems.
