Based At: The Town Hall, Jaycroft Road, Burnham on Sea TA8 1LE
Key Functions:
To be a first point of contact for all enquiries to the town council, either in person or otherwise, and to assist with the day-to-day running of the town council offices by providing administrative support across all the council’s operations.
Main Duties and Responsibilities:
1. Provide a professional and friendly public facing reception service during office opening hours, welcoming visitors and assisting, directing enquiries to alternative service providers where necessary.
2. Answer incoming telephone calls and internet enquiries, deal with them as far as possible or re-direct when necessary.
3. Ensuring information displays and noticeboards contain current and relevant information.
4. Undertake engagement and response gathering activities as required using face to face or electronic polls and surveys.
5. Undertake administration duties, producing letters, spreadsheets, databases, forms and templates, including complex documents.
6. Publishing information on the website as directed.
7. Setting up the Council Chamber for meetings.
8. Operate and manage systems that provide for the efficient and proper hiring and use of council facilities and services, such as meeting rooms and spaces across all council property.
9. Being aware and compliant with General Data Protection Regulations.
10. To undertake any other duties required by the Town Council consistent with the level and scope of the post.
11. Create & maintain computerised information records, ensuring confidentiality and GDPR compliance is adhered to.
12. Provide all general office administration services as required, including but not limited to, creation and maintenance of files and filing systems, undertaking research to assist with projects, photocopying, distribution of information, management of stationery/equipment supplies.
13. Processing of incoming and outgoing post.
