Our London office is a busy operational hub where warehouse, logistics, sales and support teams work closely together. No two days are quite the same. Some days are focused on administration and planning, while others involve helping to keep projects moving when priorities change or urgent requests come in.
The Office Administrator plays an important part in creating an organised, welcoming and efficient workplace, supporting colleagues across the business while helping ensure the office runs smoothly every day.

The Role
This role is responsible for keeping our UK office organised, welcoming and running efficiently every day. You'll be the first point of contact for visitors and suppliers, while providing administrative support across several departments including Operations, Sales, Finance and People.
You'll coordinate many of the day-to-day activities that keep the office functioning, from managing facilities and ordering supplies to organising meetings, handling deliveries and maintaining accurate records. You'll also support operational administration, helping ensure information is kept up to date and projects stay organised.
Some days will be planned and routine, while others will require you to respond quickly to changing priorities. This role would suit someone who enjoys variety, likes being organised and takes pride in creating an environment where colleagues can do their best work.
What you’ll be doing…..
- Manage the day-to-day administration and smooth running of the London office.
- Welcome visitors, clients and suppliers, ensuring they receive a professional and friendly experience.
- Prepare meeting rooms, arrange refreshments and support internal meetings where required.
- Coordinate incoming and outgoing post, courier deliveries and collections.
- Track customer orders, deliveries and collections, updating internal systems and providing progress updates where needed.
- Liaise with couriers, suppliers, warehouse teams and colleagues to help keep projects moving.
- Maintain accurate records, spreadsheets, trackers and administrative documentation.
- Monitor stationery, kitchen supplies and office consumables, arranging replenishment before stock runs low.
- Coordinate office maintenance, facilities issues and contractor visits, working with building management where required.
- Support the Operations team with reporting, administration and logistics coordination.
- Assist with onboarding new employees by preparing workstations, arranging office access and coordinating equipment requests.
- Organise company travel, accommodation and meeting bookings when required.
- Maintain organised filing systems and ensure company records remain accurate and up to date.
- Support Health & Safety administration, workplace compliance and office procedures.
- Assist managers with general administrative tasks and provide support across departments whenever required.

Experience we are looking for …..
- Previous experience in an Office Administrator, Office Coordinator or similar administration role.
- Experience supporting a busy office environment with multiple departments.
- Confident using Microsoft Office, particularly Outlook, Word and Excel.
- Comfortable maintaining spreadsheets, trackers and electronic filing systems.
- Experience coordinating meetings, travel, facilities or office services.
- Strong written and verbal communication skills.
- Experience working in an operations, logistics, technology or events business would be helpful but isn't essential.
