A friendly mainstream primary school in Ealing is looking for a highly organised and dedicated Admin & Attendance Officer to join its supportive school team. This is a fantastic opportunity for an experienced administrator who enjoys working in a busy school environment and is passionate about improving pupil attendance, supporting families, and ensuring the smooth running of school administration.
About the Role
As an Admin & Attendance Officer, you will play a key role in supporting the school's administrative systems, admissions processes and attendance procedures. Working closely with the Senior Leadership Team, school staff, parents, the Local Authority and external agencies, you will help ensure that pupil information is accurate, attendance is closely monitored, and school processes are efficient and well organised.
Your responsibilities will include:
- Managing the daily attendance and registration process, ensuring accurate records are maintained on SIMS
- Monitoring pupil absence, lateness and attendance patterns and following up with parents/carers
- Producing attendance reports and data for the Senior Leadership Team
- Working with the school's attendance lead, Local Authority and external agencies to improve attendance and punctuality
- Supporting families and pupils where attendance concerns arise and helping identify barriers to regular attendance
- Maintaining accurate records of attendance interventions, meetings and agreed actions
- Managing in-year admissions, including completing admissions procedures and liaising with parents and relevant agencies
- Ensuring new pupil information, attainment, attendance and safeguarding records are complete and up to date
- Maintaining accurate records of pupil joiners and leavers
- Completing and submitting relevant pupil returns and census information
- Managing school records and information systems, ensuring data is accurate, confidential and up to date
- Producing class lists, reports, statistics, labels and other information required by staff and senior leadership
- Supporting the organisation of school trips, events and other school activities
- Dealing with more complex reception, visitor and general administrative matters
- Updating and maintaining the school website and other school publications
- Providing administrative and organisational support to staff and the governing body
- Using ICT systems including SIMS, Microsoft Word, Excel, databases and spreadsheets
- Liaising effectively with parents, pupils, staff, Local Authority representatives and external agencies
- Supporting the school’s safeguarding, confidentiality, data protection, equality and health & safety procedures
About You
The successful candidate will be:
- Highly organised and methodical, with excellent attention to detail
- Experienced in school administration, attendance or a similar administrative environment
- Confident working with attendance and pupil data
- Experienced in using SIMS or similar school management systems
- Confident using Microsoft Office, particularly Word and Excel
- Able to analyse information and produce clear and accurate reports
- Comfortable communicating with parents, pupils, staff and external agencies
- Warm, approachable and professional when dealing with families
- Able to handle confidential and sensitive information with discretion
- Proactive, reliable and able to prioritise effectively in a busy school environment
- Knowledgeable about school attendance, admissions and safeguarding procedures
- A strong team player who is able to work independently when required
- Committed to promoting the welfare, safety and regular attendance of children and young people
