Job Purpose
To provide a professional, efficient and confidential administrative and business support service to the Single Point of Access Team and Social Care teams, ensuring information is processed accurately and within required timescales.
The postholder will support the effective delivery of services by undertaking data entry, maintaining accurate records, processing sensitive information and providing day-to-day administrative assistance. The role requires a high level of accuracy, confidentiality and professionalism when handling safeguarding and service user information, while ensuring that council policies, procedures, data protection requirements and statutory timescales are consistently followed.
- Provide a professional administrative and business support service to Social Care and Single Point of Access teams.
- Accurately input, update and maintain numerical and text-based information on the council's customer and client databases.
- Process sensitive, confidential and potentially safeguarding-related information in accordance with data protection legislation and council procedures.
- Verify information for accuracy and completeness before entering or updating records.
- Undertake high-volume data entry and processing accurately and efficiently.
- Use Microsoft Office applications and other relevant council systems to produce, update and manage documents, records and information.
- Maintain accurate electronic and paper-based records in accordance with departmental procedures.
- Ensure information is processed within required statutory and operational timescales.
- Follow established policies, procedures and quality standards at all times.
- Provide administrative support to colleagues and assist with the smooth running of the Single Point of Access Team.
- Communicate professionally and effectively with colleagues, service users and other relevant contacts where required.
- Handle confidential information appropriately and maintain strict confidentiality at all times.
- Identify and report any discrepancies, errors or issues with information and records.
- Work collaboratively as part of a busy team, providing support to colleagues and contributing to the delivery of an efficient service.
- Demonstrate a commitment to the council's core values, departmental objectives and the provision of high-quality services to the community.
- Undertake any other reasonable administrative duties appropriate to the level and nature of the post.
- Good standard of education with strong literacy and numeracy skills.
- Previous experience working in an administrative, business support or office-based environment.
- Strong IT and technology skills, including a good working knowledge of Microsoft Office.
- Good typing skills and the ability to enter and process information quickly and accurately.
- High level of accuracy and attention to detail when manually entering, checking and formatting data.
- Experience of working with databases, electronic records or similar information management systems.
- Ability to handle sensitive and confidential information appropriately.
- Ability to follow policies, procedures and instructions, particularly in relation to data protection and confidentiality.
- Ability to organise and prioritise workload effectively within a busy working environment.
- Ability to work accurately to deadlines and statutory timescales.

- Knowledge or previous experience of using WCCIS or a similar Social Care/client database.
- Previous experience providing administrative support within Social Care, health, local authority or other public sector services.
- Knowledge of data protection and confidentiality requirements within a Social Care environment.
- Experience of working with safeguarding or service user information.
- Ability to converse in Welsh.
Welsh language skills are desirable but not essential, and applications are welcomed from both Welsh-speaking and non-Welsh-speaking candidates.
Location: Council Offices, Coed Pella Road, Colwyn Bay, Conwy
Hours Per Week: 37 hours per week, Monday to Friday
