ROLE PURPOSE
The Project Co-ordinator is responsible for ensuring projects are accurately estimated, commercially compliant and fully prepared before entering production.
Acting as the central coordination point between Project Manager(s), Commercial, Design, Procurement, Production and Installation teams, the role ensures that project information is complete, accurate and commercially robust, enabling efficient delivery and protecting project profitability.
The Project Co-ordinator plays a critical role in maintaining data quality, process compliance and operational efficiency across the business.
KEY RESPONSIBILITIES
Estimating & Commercial Support
- Prepare accurate cost estimates based upon project requirements, materials, labour and subcontract costs.
- Utilise approved pricing structures, product templates and Bills of Materials (BOMs).
- Obtain quotations from suppliers and subcontractors where required.
- Prepare formal quotations for review and approval.
- Support Project Managers in developing commercially competitive and profitable proposals.
Project Setup & Governance
- Create and maintain accurate route cards and project records within company systems.
- Ensure all jobs contain complete Bills of Materials, labour estimates, specifications and installation requirements.
- Verify that all required documentation, approvals and purchase orders are in place before manufacture.
- Ensure company procedures and commercial controls are followed throughout the project lifecycle.
- Maintain project data accuracy and consistency across all systems.
Operational Coordination
- Act as the central point of contact for project information and job preparation activities.
- Liaise with Design, Procurement, Production, Installation and Commercial teams to resolve information gaps.
- Monitor project readiness and identify potential issues before they impact delivery.
- Support production planning through accurate labour and material forecasting.
- Ensure projects are released into production with complete and verified information.
Continuous Improvement
- Support the development and maintenance of estimating tools, product libraries and standard costing models.
- Identify opportunities to improve efficiency, accuracy and consistency.
- Assist with implementation of new systems, processes and digital transformation initiatives.
- Promote a culture of data accuracy, accountability and continuous improvement.

SKILLS & EXPERIENCE
Essential
- Experience within estimating, project coordination, manufacturing administration or commercial support.
- Strong numerical and analytical skills.
- Excellent attention to detail.
- Good understanding of costing, materials and manufacturing processes.
- Ability to interpret technical drawings and specifications.
- Proficiency in Microsoft Excel and ERP/MIS systems.
- Strong communication and organisational skills.
Desirable
- Experience within the signage, manufacturing, construction or fit-out sectors.
- Understanding of Bills of Materials (BOMs).
- Knowledge of labour routing and production planning.
- Experience of ERP or project management systems.
- Familiarity with procurement and supplier management processes.
