Title: Operations Administrator
Reports to: Management Team
Contract: 12 Month Fixed Term
Base: Stanlaw Abbey Business Centre, Ellesmere Port, CH65 9BF
Additional Information: Due to clinical service commitments, Some Friday evening and Saturday availability is required.
Salary: £12.90ph
Hours: 20 Hours per week plus paid occasional on call duties for Friday evenings and Saturdays for Enhanced Access.
Background
Primary Care Cheshire Community Interest Company (CIC) was established as a Community Interest Company in 2011. It is a social enterprise currently owned by 29 Western Cheshire GP practices. Initially, the organisation was established to provide a vehicle through which primary care providers (e.g. GPs) could compete against other healthcare providers for services. However, as the NHS landscape has shifted the organisation has been required to refine its strategy accordingly. The organisation’s focus has now been realigned to support primary care (i.e. GP membership) in its requirement to deliver both front and back-office transformational change.
It’s an exciting time for the organisation in terms of creating a sustainable business and developing and delivering services for the people of West Cheshire. Having successfully gained new business, the organisation is now seeking to find an individual to join our team and help to move us to the next phase of our development. We are looking for an organised self-starter who can demonstrate an ability to deliver results. An understanding of health and social care systems would be beneficial.
Key responsibilities and accountabilities:
· Provide administrative and operational support across Primary Care Cheshire CIC services
· Data collection and processing for Primary Care Cheshire CIC services
· Assist with the coordination of clinic setups, staffing rotas, and day-to-day service delivery.
· Arrange meetings, prepare agendas and take accurate meeting notes/minutes.
· Contact patients by telephone collecting patient feedback, text messages regarding appointments and clinic information.
· Delivery of medical equipment to GP surgeries across West Cheshire.
· Provide flexible administrative support, including arranging cover for cancelled clinics or staffing changes at short notice.
· Participate in the Enhanced Access on-call rota, including Friday evenings and Saturdays.
· Undertake general administration duties to support the effective running of Primary Care
General Tasks
· Dealing with correspondence and queries
· Organise meetings, including booking venues, speakers and refreshments and ensure good attendance
· Ensure all Primary Care Cheshire CIC offices are stocked with equipment/stationary and monitor electricity/IT for all offices
· Implement and maintain all office procedures and ensure all staff are aware of these
· Reconcile data for PCC services, against claims from practices (AVS, DVT, Health Checks etc) and ensure payments to practices are made in a timely manner
· Maintain electronic and paper filing systems
· All other administrative tasks as required

Essential Experience
· Strong attention to detail and accuracy of work.
· Well organised, with an ability to carry out numerous tasks to tight deadline
· Excellent time management and IT skills.
· Experience of personnel issues including rota coordination, recruitment and training
Desirable Experience
· Knowledge of NHS procedures and General Practice
· EMIS software
Holiday Entitlement: 34 days per annum including public holidays (pro rata for less than full time hours over 5 days)
Contract: All new staff are subject to a 12-week probationary period. Four weeks’ notice is required to terminate employment by either side i.e. the employee or Primary Care Cheshire. During the probationary period, one week’s notice is required by either side.
Pension: Primary Care Cheshire has an automatic enrolment workplace pension scheme in place for eligible employees.
Criminal Disclosure: The post holder will be subject to police checking by the Disclosure and Barring Service (was CRB) Enhanced Disclosure + check of Adults Barred List.
