Job Purpose: To provide secretarial and administrative support to Fee Earners in the Family Department at Paul J Watson Solicitor and to provide an excellent level of client care.
Required skills and qualifications;-
1. Legal Secretarial experience, particularly in Family Law.
2. Experience in audio typing
3. 4 GCSEs at Grade C/Grade 5 or above, or the equivalent qualification
4. Excellent organisational ability and client care skills.
5. Ability to work under pressure in a busy department.
6. Good knowledge of Microsoft Word, Excel and Outlook.
7. Excellent communication skills, both written and verbal.
8. Able to manage your workload with minimum supervision.
9. Good understanding of the Legal Aid contractual requirements and procedures.
10. Experience of using a client case management system and Legal Aid System - CCMS
Main duties;-
1) To prepare correspondence, bills and documents for fee-earners through audio typing and word processing.
2) Opening electronic client files on Leap, together with compliance checks and procedures.
3) To attend clients both in person and on the telephone when required to do so and to provide such support (but not advice) in a professional and friendly manner, in keeping with the firm’s standards for client care and to ensure a positive representation of the firm in all dealings with clients and others.
4) To administer all necessary photocopying.
5) To make appointments, arrange meetings and to maintain an up to date diary.
6) To check own work to minimise errors and avoid corrections.
7) To assist in the personal organisation of the fee-earner to whom you are allocated through the operation of the diary management system, including assisting with key dates.
8) To ensure that all tasks delegated are carried out efficiently and effectively and within the timescale given.
9) To undertake any specific training when required and overall to have a responsibility towards self development.
10) To ensure the confidentiality of all the firm’s and clients’ documentation and information.
11) To attend new clients by an appropriate method of communication and to take all relevant details and undertake the appropriate conflict checks.
12) To undertake any ad hoc task required.
13) To provide support to other secretaries as required.
