Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills, excellent computer literacy, and the ability to manage multiple tasks efficiently. This role offers an opportunity to contribute to the smooth operation of our office environment and support various departments with administrative functions. Prior office experience and proficiency in relevant software are essential for success in this position.
Responsibilities
- Manage a variety of daily administrative tasks, including completing supplier forms, supporting spreadsheet work, and organising documents
- Answer incoming phone calls professionally and direct enquiries to the appropriate team members
- Use Xero to create and issue invoices, and support the team in following up on outstanding payments
- Assist with scheduling meetings, appointments, and maintaining accurate team calendars
- Carry out general clerical duties such as photocopying, scanning, filing, and mailing correspondence when required
- Provide organisational and administrative support to all team members and directors
- Maintain a clean, organised, and efficient office environment to support smooth daily operations
Experience
- Proven office experience or administrative background (preferred)
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with Xero or similar accounting software (advantageous)
- Excellent organisational skills with the ability to prioritise tasks effectively
- Fast and accurate typing skills with strong data-entry ability
- Demonstrated phone etiquette and professional communication skills
- Familiarity with clerical procedures and general office management practices
