Century Secure Group is a growing provider of Fire, Security, Gates & Barriers and Access Control solutions across the UK. As our business continues to grow, we are looking for an experienced Office Manager to lead our administration team and oversee the day-to-day running of our service operations.
This is an excellent opportunity for someone with experience in the Fire, Security, Gates & Barriers or Facilities Management industry who is looking to play a key role within a fast-paced and ambitious business.
The Role
As Office Manager, you will be responsible for managing the daily operations of our office, leading the administration team and ensuring the efficient scheduling of engineers, management of customer portals and smooth delivery of our service operations.
Working closely with the senior management team, you will help drive operational performance, improve processes and ensure exceptional customer service is delivered at every stage.
Key Responsibilities
- Lead, manage and support the office administration team.
- Oversee the scheduling and planning of engineers to maximise efficiency and customer satisfaction.
- Manage customer portals, ensuring service reports, compliance documentation and quotations are uploaded accurately and within required timescales.
- Monitor reactive maintenance, planned preventative maintenance (PPM) and remedial works to ensure SLAs and customer expectations are achieved.
- Work closely with customers, engineers and suppliers to ensure works are completed efficiently.
- Produce operational reports and monitor key performance indicators (KPIs).
- Support and champion the implementation and ongoing use of our CRM platform, Uptick.
- Review and improve office procedures to drive efficiency and service delivery.
- Ensure high standards of customer service and administration are maintained across the business.
- Support the senior management team with the day-to-day operational management of the business.
Essential Requirements
- Previous experience as an Office Manager, Service Manager or Senior Office Administrator within the Fire, Security, Gates & Barriers or Facilities Management industry.
- Proven experience scheduling engineers within a service-based environment.
- Experience managing customer portals and compliance documentation.
- Previous experience managing or supervising an administration team.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong communication and customer service skills.
- Excellent IT skills with experience using dedicated service management software.
Desirable Experience
- Experience using CASH (Mentor), Uptick or similar field service management software.
- Knowledge of planned preventative maintenance (PPM), reactive maintenance and remedial works.
- Experience working to Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
- Understanding of compliance-led engineering businesses.
