The Opportunity
We are looking for a capable, organised, commercially minded and mature Property Manager & Executive Assistant to take day-to-day ownership of our property portfolio while providing administrative and operational support to the Director. This is a varied role suited to someone who enjoys responsibility, can work independently and is comfortable moving between property management, administration, finance, tenant communication and problem-solving. You will have the freedom to manage your workload, introduce better systems and contribute ideas that improve the performance and efficiency of the business.
Key Responsibilities
- Take day-to-day responsibility for the management of a mixed residential and commercial property portfolio
- Act as a key point of contact for tenants, contractors, agents and suppliers
- Coordinate maintenance, repairs, inspections and compliance requirements
- Monitor outstanding actions and ensure issues are followed through to completion
- Assist with lettings, renewals, check-ins, check-outs and property marketing
- Maintain accurate property, tenancy, contractor and financial records
- Assist with rent monitoring, invoices, expenditure and basic bookkeeping
- Use QuickBooks or similar systems to support financial administration and reporting
- Prepare emails, letters, reports, spreadsheets and presentations
- Manage diaries, appointments, meetings and general administration for the Senior Team
- Obtain quotations, negotiate with suppliers and monitor contractor performance
- Help improve internal processes, systems and reporting
- Identify opportunities to improve service, reduce costs and support business growth
- Assist with occasional marketing, social media and property presentation tasks
About You
You will be organised, proactive and comfortable taking ownership of your responsibilities. You should be able to make informed decisions, communicate confidently and remain calm when dealing with competing priorities.
You will ideally have:
- Previous experience in property management, facilities management, serviced offices, serviced apartments or a related environment
- Strong written and verbal communication skills
- Confidence communicating with tenants, contractors, suppliers and professional advisers
- Good numerical ability and a high level of accuracy
- Experience of knowledge of Microsoft Outlook, Excel, Word and PowerPoint
- Experience using QuickBooks or another accounting or property management system
- Excellent organisation, time management and task-tracking skills
- The ability to prioritise, multitask and work with minimal supervision
- A practical, solutions-focused approach to problem-solving
- Strong attention to detail
- Confidence negotiating and resolving issues
- A positive, commercially aware and entrepreneurial mindset
- The flexibility to assist with wider administrative and operational duties when required
Desirable Experience
The following would be advantageous but are not essential:
- Experience managing both residential and commercial property
- Propertymark or ARLA qualifications
- Experience with property marketing, social media, photography or design
- Familiarity with property compliance and maintenance coordination
- Additional language skills, including Mandarin, Cantonese, Gujarati or Hindi
