Job Description:
The Personal Assistant is a key role, managing administrative tasks for the VP Accounting and Control FBT who runs a team of over 1800 people spread between Pune, KL, Budapest, South Africa and UK. The VP is also a board member of Azule which will also need support from the PA.
What you will do...
Diary management
Organising meetings
Management of travel arrangements and expenses for VP, FBT.
Management of distribution lists, incoming/outgoing mails and logistics for key meetings, town halls, workshops and events.
Sending key announcements using dotmailer.
Supporting the VP in her capacity as a Board Director and Audit committee chair of Azule including pulling together agendas and pre-reads for key external meetings.
You will also provide a link between bp offices and leaders, maintaining a good working relationship with key contacts both externally to bp and other parts of the Group.
There is a need to handle administrative matters in the strictest confidence and maintain all relevant records and files. You may help prepare various documents, correspondence, reports, agreements, presentations, and spreadsheets and track critical deadlines and initiate follow-up actions in a timely manner.
What you will bring...
Previous administrative experience at senior level including intelligent diary management.
Good interpersonal skills with the ability to work effectively at multiple levels in the organisation.
Proficiency in English, strong written and verbal communication skills; able to build rapport while confidently challenging and influencing when needed.
Able to cope with ambiguity in a high-pressure environment, remaining calm when managing multiple competing priorities.
Independent, self-motivated and detail oriented.
Excellent team behaviours.
Intermediate/advanced proficiency in MS office tools.
Cultural proficiency, self-awareness, and the ability to work in varied cultural environments.
When entrusted with confidential information, will always handle it with utmost duty of care and tact.
Willingness to learn how to use co-pilot to automate tasks and increase productivity.
Experience of managing global stakeholders, both internal and external
Highly organised, and systematic in ways of working.
A track record of balancing complex schedules, meeting logistics and conflicting priorities.
Able to differentiate between business-critical and other priorities when managing the diary.
Whilst based out of London SJS, the ability to work from Sunbury approximately one day per week and with some flexibility around working hours, given the global spread of the teams you will work with, would be beneficial.
