PA Support Assistant – Band 2 (Secretarial and Administration)
Hours: 37 Hours Per Week, Monday to Friday
Work Pattern: Office-based, with general administrative and PA support duties
Contract: Temporary – 3 Months, ending 5 December 2026

About the Role
We're recruiting a PA Support Assistant – Band 2 to provide efficient and comprehensive administrative and PA support to the service. This role involves managing correspondence, maintaining records, preparing documents, supporting meetings, handling enquiries, and assisting with routine financial and administrative processes.
What You'll Be Doing
- Providing efficient and comprehensive administrative and PA support to the service
- Managing emails, post, telephone calls, messages, copying, scanning and document archiving
- Maintaining and updating electronic and manual records across multiple systems
- Carrying out basic data checks, audits and quality control
- Preparing and formatting letters, reports, minutes and other documents using Word, spreadsheets, presentation software and audio transcription
- Handling telephone and face-to-face enquiries, providing information, taking messages and directing queries where appropriate
- Providing telephone and administrative cover for teams as required
- Processing routine invoices, purchase orders, petty cash and payments in line with Council procedures
- Checking data for accuracy, identifying missing information and following up as required
- Supporting meeting arrangements, including room set-up, equipment, resources and refreshments
- Managing diaries, arranging and rearranging meetings, booking rooms and coordinating refreshments
- Handling sensitive and confidential information with discretion
Requirements
We're looking for someone with previous clerical or administrative experience, excellent attention to detail, strong communication skills, and the ability to organise and prioritise their workload with minimal supervision.
Must-Have Requirements
- Previous clerical or administrative experience
- Experience of transcription and audio typing
- Good working knowledge of Microsoft Office, including:
- Word – advanced
- Outlook and diary management – intermediate
- Excel – basic
- PowerPoint – intermediate
- Access/databases – intermediate
- Strong literacy and numeracy skills, including accurate spelling, grammar, punctuation, percentages and decimals
- Excellent attention to detail and a high level of accuracy
- Ability to communicate clearly verbally and in writing
- Ability to accurately receive, record and relay information
- Ability to organise and prioritise own workload with minimal supervision
- Ability to work effectively as part of a team
- Understanding of clerical systems and procedures
- Ability to follow financial procedures and processes
Nice-to-Have Requirements
- Previous experience within a local authority or public sector environment
- Experience of working with confidential or sensitive information
- Experience of supporting meetings, diary management and general office administration
