About Clearcut Physiotherapy
Clearcut Physiotherapy is a growing private physiotherapy business with clinics across London, providing MSK, sports, neurological, paediatric and community physiotherapy services.
As we continue to grow, we are looking for a confident, organised and commercially minded Patient Services & Sales Coordinator to join our team and help us convert new patient enquiries into appointments.
This is not a traditional reception-only role. You will play an important role in the patient journey and will be responsible for answering enquiries, understanding what patients need and helping them choose and book the right service.
The Role
Working primarily between our Eltham or Hammersmith clinics, you will be the key point of contact for patients contacting Clearcut during the afternoon and evening.
You will:
- Answer incoming telephone enquiries professionally and confidently.
- Convert enquiries into booked physiotherapy appointments.
- Respond to WhatsApp, website and other patient enquiries.
- Follow up missed calls and enquiries that have not yet booked.
- Explain our services, pricing and treatment packages clearly.
- Understand the patient's needs and direct them to the appropriate clinic and clinician.
- Help fill cancellations and available appointments.
- Manage reception duties and support patients attending the clinic.
- Process bookings, payments and basic administration.
- Maintain accurate patient and enquiry records.
- Work closely with the daytime admin team and physiotherapists to ensure smooth handovers.
- Identify opportunities to improve patient conversion and the overall patient experience.
Who We're Looking For
We're looking for someone who is confident on the phone, personable and comfortable with sales.
You don't need to be a pushy salesperson. We want someone who can have a natural conversation with a patient, understand what they need and confidently guide them towards booking.
You should have:
- Excellent telephone and communication skills.
- Previous experience in reception, customer service, sales, healthcare administration or a similar role.
- A confident and friendly manner.
- Strong organisational skills and attention to detail.
- The ability to work independently.
- Good computer skills and the ability to learn new software quickly.
- A professional approach to handling confidential patient information.
- The ability to remain calm and organised when the phones and reception are busy.
- A genuine interest in helping patients.
Healthcare, physiotherapy, private healthcare, gym, fitness, dental or similar customer-facing experience would be advantageous.
