Operating from our modern, open-plan office in Princes Risborough, we pride ourselves on our collaborative, small, and friendly team environment. Reporting directly to the two Owners/Directors, this pivotal role offers the chance to truly impact our daily operations and customer satisfaction.
The Role
As our Spare Parts and Customer Service Manager, you will take full ownership of the spare parts supply chain and engineering schedule. You will be the central hub connecting our valued customers, global suppliers, and field engineers.
Key ResponsibilitiesSpare
Parts & Logistics Management:
- Respond to customer spare parts enquiries and negotiate with suppliers.
- Oversee the full lifecycle of spare parts orders from initial enquiry to final delivery.
- Create and update job files, process supplier orders, and raise customer invoices.
- Follow up on deposit invoices and liaise with finance to assist with accounts.
- Arrange transport logistics and manage customs clearance documentation.
- Provide weekly progress updates on all active parts orders to the Directors.
Customer Service & Engineering Coordination:
- Manage service contracts, including annual renewals, adjustments for new machinery, and securing customer POs.
- Coordinate field engineers' diaries, schedule service visits, and process service sheets.
- Handle incoming customer phone calls, troubleshoot enquiries, and book site visits.
- Update and maintain internal databases, specifically Salesforce and Sage.
- Support the Managing Directors with general administrative and office management tasks.
Required Experience & Skills
- Industry Experience: Proven experience within the packaging or automation/automotive sectors is highly desirable.
- Systems Knowledge: Strong administrative skills with practical experience using Sage and Salesforce (or similar ERP/CRM systems).
- Communication: Exceptional phone manner and written skills to build relationships with suppliers and clients.
