Overview
Calibro is looking for a proactive and organised Admin Assistant to provide maternity cover within our finance and administration team. This is a varied role supporting day-to-day business operations across departments, including finance administration, data entry, purchasing, invoicing, supplier payments, reporting and general office support.
The successful candidate will be confident working with numbers, systems and deadlines, with excellent attention to detail and a flexible, team-focused approach. You will work closely with the Finance Manager, Directors, wider Calibro team, suppliers and customers to help ensure administration and finance processes run smoothly and efficiently.
Key Responsibilities
- Provide finance and administrative support across the business as directed by management.
- Complete Sage 50 data entry accurately, including purchase orders, sales orders and general bookkeeping tasks.
- Raise customer invoices, issue statements and support credit control processes.
- Process supplier invoices and assist with supplier payments.
- Manage and reconcile transactions relating to the company Revolut account.
- Prepare weekly reports, dashboards and updates for management review.
- Support online ordering, travel bookings, hotel arrangements and other business administration requirements.
- Assist with TSS support and other operational tasks as required.
- Maintain accurate records and work confidently with company systems, server structures, software and CRM platforms.
- Communicate professionally and positively with colleagues, customers, suppliers and other stakeholders.
- Manage workload effectively, prioritise tasks and meet deadlines in a busy, changeable environment.
- Support company KPIs and contribute to continuous improvement across finance and administration processes.
About You
- Previous experience in business administration, finance administration or a similar office-based role.
- Experience using Sage 50 and Microsoft Excel is desirable.
- A bookkeeping or business administration qualification would be advantageous but is not essential.
- Strong attention to detail, accuracy and a data-driven approach.
- Good time management skills and the ability to use initiative.
- Flexible and willing to support different departments when required.
- Professional, friendly and effective communication style.
- Positive team player who is accountable, reliable and comfortable working to deadlines.
Pay: £21,000.00-£25,000.00 per year
