West Sussex Fire & Rescue Service is seeking a proactive and organised Fleet Support Service Assurance Officer to thrive in a customer-focused administrative role.
In this role, you will play an essential part in supporting the County Fleet Team by providing high quality information, data, and administrative support.
Working closely with the Fleet Resources and Support Team Leader, you will contribute to the smooth and efficient delivery of fleet services across the organisation.
Salary: £27,254 to £28,598 per annum
Contract Type: Permanent
Working Pattern: Full-time (37 hours per week)
Location: Power Place, 2 Terminus Rd, Chichester PO19 8UE

Regular attendance at your base location will be necessary, and there will be opportunities for remote work. Final arrangements will be confirmed with the successful candidate.

About the Job
No two days in our Fleet Resource and Support Team are the same! In this varied and fast-paced role, you will help ensure the effective and efficient provision of information, data, equipment, and resources.
You will also support the Team Leader in delivering a high quality, responsive county fleet management service, contributing to the smooth running of operations across the organisation.
Your key responsibilities will include:
- Maintain and manage a fleet vehicle management system that is fit for purpose, ensuring compliance and high service standards
- Ensure all vehicle records are accurate, up to date, and consistently maintained.
- Liaise with external providers to ensure service schedules are delivered in line with compliance requirements, resolving any issues promptly
- Build strong working relationships with the Workshop Team Leader and workshop team, providing data insights and system support when needed
- Maintain and oversee the fleet fuel management system, ensuring it operates effectively and meets compliance standards
- Coordinate and monitor fuel deliveries to fire stations, ensuring stock levels are maintained in line with agreed requirements
- Work closely with the fuel provider to plan and maintain reliable delivery schedules
- Effectively manage fuel cards across both the County Council and Fire Service, ensuring accessibility and smooth operation for internal and external use.

Required Qualifications and Skills
- Knowledge of fleet management operations, including relevant systems, procedures, and policies
- Full UK driving licence
- Strong IT skills, with experience using a range of software (knowledge of Tranman Fleet Management system is highly desirable)
- NVQ Level 3 (or equivalent qualification/experience)
- Good working knowledge of IT systems and processes.
- Strong literacy and numeracy skills, with the ability to follow written instructions and accurately check financial data and documents
- Excellent communication and interpersonal skills, enabling you to provide clear and effective advice to a wide range of stakeholders
- Ability to interpret and work with varied information, producing high-quality documents with minimal supervision.
