About the role
We are looking for a highly organised, detail-focused Medico-Legal Paralegal / PA to support a Consultant Orthopaedic Surgeon, with his medico-legal work and contribute to the wider practice team.
You will help manage cases from the initial solicitor’s instruction through to the completed expert report, ensuring that records are organised, information is accurate and deadlines are met. The work involves personal injury and clinical negligence matters, including the preparation of supporting material for reports on condition, prognosis, breach of duty and causation.
This is a hands-on role combining legal administration, medical record review, research and report preparation, alongside PA responsibilities, business development and clinic support. It would suit someone who enjoys working through complex information, identifying important details and keeping multiple tasks moving efficiently.
Excellent organisation and clear, proactive communication are the most important requirements for this position. Accuracy, reliability and consistent follow-through are essential.
Your responsibilities
- Manage case administration: Receive and track instructions, maintain case files, monitor deadlines, arrange appointments and keep Professor Lee informed of outstanding actions.
- Organise and review medical records: Index and paginate documents, prepare factual chronologies and summaries, and identify missing records, conflicting information or matters requiring clarification.
- Support report preparation: Prepare document structures and factual sections from the supplied evidence, incorporate dictated or approved content, and proofread reports for consistency, grammar, dates, names and references.
- Liaise with solicitors and other contacts: Handle correspondence professionally, request outstanding information and provide appropriate progress updates.
- Undertake research and document checks: Locate relevant materials when requested, retain clear source references and ensure that factual statements can be traced back to the records.
- Maintain accurate and confidential systems: Keep case trackers, correspondence, report versions and billing information organised, handling sensitive personal and medical information with care.
The role supports an independent medical expert’s work. Medical opinions and final report approval remain the responsibility of the doctor. You will not be expected to provide independent medical opinions or legal advice.
Essential skills and qualitiesExceptional organisation and follow-through
Organisation is the most important skill for this role. You must be able to manage diaries, case files, enquiries, deadlines and competing priorities while keeping an accurate record of what needs to happen next.
We need someone who creates order, plans ahead and follows tasks through to completion without repeated reminders. You should know what is outstanding, who is responsible and when to follow up. When priorities conflict or a deadline is at risk, you must raise this early rather than wait for a problem to develop.
Excellent communication
Clear, timely and proactive communication is equally important. You must communicate professionally and confidently with doctor, solicitors, patients, business contacts and colleagues, both in writing and on the telephone.
This means listening carefully, confirming instructions, providing useful progress updates and ensuring that people know what happens next. You should be comfortable chasing outstanding information politely, asking questions when something is unclear and passing on important information promptly.
Strong written English is essential, including professional correspondence and careful proofreading.
Practical AI and digital skills
You must be confident using AI tools in everyday work to support tasks such as drafting correspondence, structuring documents, organising information and improving administrative processes.
Good judgement matters as much as technical confidence.
You should also be comfortable using Microsoft Word, including formatting longer documents and tracked changes, alongside Excel, electronic diaries, PDF software and shared task-management systems.
Commercial awareness and initiative
You should understand the importance of responsive service, professional relationships and consistent follow-up. You will help progress enquiries, maintain solicitor and referrer relationships, support business development and identify practical ways to improve how the practice operates.
We need someone who takes ownership and brings forward solutions, while recognising which decisions require approval.
Accuracy, discretion and a team approach
You must take pride in accurate work, spot discrepancies and check your work thoroughly. When information is incomplete, you should ask for clarification rather than make assumptions.
You must handle sensitive information discreetly and treat patients and colleagues with respect.
You should be willing to help with clinic administration and patient-facing support, adapt when priorities change and contribute to the wider team—not work only within a narrow job description.
Relevant experience
Previous experience as a paralegal, legal assistant, legal secretary or medico-legal administrator, medical secretary would be valuable. Applications from English or law graduates with strong research, writing and organisational skills are also welcome.
Experience in clinical negligence, personal injury, medical records or expert witness administration would be particularly relevant.
We are especially interested in your working methods, communication skills and ability to follow tasks through—not simply your qualifications or previous job titles.
