The Role
We currently have two Helpdesk Coordinator positions available – one full-time and one part-time.
As a Helpdesk Coordinator, you will be an important part of our Operations and Planning team, acting as a key link between clients, engineers, subcontractors and our internal planning team.
You will support the Planner and Operations Manager by coordinating reactive maintenance jobs, quoted works and daily schedules, while ensuring information is recorded accurately and communicated clearly.
This is a busy, fast-paced role that would suit someone who is proactive, organised and confident managing multiple tasks and priorities at the same time.
You will also have the opportunity to learn elements of the Planner role, allowing you to provide holiday cover and additional operational support when required.
Key Responsibilities
- Answer incoming calls and emails from clients, engineers and subcontractors
- Log new jobs, updates and completion notes accurately on internal systems and client web portals
- Assist with planning and scheduling reactive maintenance and quoted works
- Track engineer working hours daily to help ensure weekly hour requirements are met
- Liaise with engineers and subcontractors to progress work and resolve queries
- Monitor open jobs and follow up on outstanding information to ensure nothing is missed
- Check weekly engineer timesheets for accuracy
- Order materials as required for ongoing jobs
- Manage and maintain client accounts, ensuring job records are kept up to date and to a high standard
- Identify missing or unclear information and take action to resolve it quickly
- Learn elements of the Planner role to provide holiday cover and additional operational support
What We're Looking For
You do not need previous experience in the building maintenance industry. What matters most to us is your attitude, professionalism, communication skills and ability to stay organised under pressure.
Required
- 2+ years of general office experience
- 1+ year of office-based customer service experience
- GCSEs or equivalent
- Strong written and verbal communication skills
- Excellent attention to detail and accuracy
- Good organisational and time-management skills
- A proactive approach and confidence in following up on missing information
- Ability to manage multiple tasks and priorities in a busy environment
- A friendly and professional telephone manner
