Job Overview
The Inspections Clerk is responsible for arranging and carrying out regular property visits, recording visit information, reporting repairs and supporting the Property Management team with administrative and maintenance-related tasks.
Key Responsibilities
- Book property visits for the Northampton and Daventry offices through Inventorybase and add appointments to the diary.
- Ensure all required Inventorybase documentation is available and ready before each visit.
- Book keys in and out for upcoming property visits.
- Carry out property visits on the scheduled date.
- Upload property visit information and photographs to Inventorybase after each visit.
- Send property visit reports to landlords and, where necessary, tenants.
- Add repairs identified during property visits to Fixflo and allocate them to the relevant Property Manager.
- Support the team while office-based, including answering the telephone and dealing with general maintenance queries where possible.
- When required, manage repair issues through Fixflo and liaise with landlords, tenants and preferred contractors to arrange repairs.
- Prepare new inventories and update existing inventories using Inventorybase, together with associated paperwork when required.
- Action the weekly report to ensure outstanding and overdue property visits are booked.
General Duties
- Attend the weekly department morning meeting in both Northampton and Daventry.
- Carry out general office duties, including answering the telephone, responding to emails within 24 hours and assisting visitors to the office.
- Keep specific tasks up to date and work towards agreed KPIs.
- Liaise with other departments to ensure queries are handled correctly and promptly.
- Work in line with current and new regulations.
- Provide cover or assistance for colleagues during holidays and other absences when required.
- Follow personal safety procedures to avoid putting yourself or others at risk.
- Attend internal and external meetings and appointments on time.
- Be ready to start work or attend the morning meeting at 8:45am.
Working Arrangements
- Work within the lettings office on Saturdays on a rota basis, carrying out tasks as required.
- During Saturday rota cover, respond to calls and queries received across the departments.
- Maintain smart business dress and a well-groomed appearance.
