We operate a warehouse fulfilling internet orders direct to consumer and to wholesale customers both in the UK and internationally, for a number of e-commerce fashion businesses.
We are looking for a super organised, efficient and proactive Warehouse Operations & Administration Manager to oversee the administrative and operational functions of our busy warehouse office.
This role sits at the centre of the warehouse operation, coordinating stock movements, orders, systems, workforce administration and relationships with brand partners (3PL's) to ensure the warehouse runs efficiently and accurately.
Key Responsibilities
Warehouse Operations
- Manage booking-in of deliveries and maintain accurate goods-in records
- Monitor order fulfilment to ensure customer orders are processed on time
- Liaise closely with the warehouse team to resolve operational issues
- Coordinate stock takes, investigate discrepancies and provide final report
Inventory & Systems
- Manage inventory synchronisation across sales platforms and ensure accuracy is maintained
- Ensure warehouse processes are being followed correctly and systems are functioning effectively
- Report, log and follow up any issues with inventory synchronization to stock system provider
3PL & Wholesale Coordination
- Coordinate stock drops and product launches with 3PL brands
- Manage wholesale order preparation and shipping
- Maintain strong communication with brand partners and ensure service expectations are met
- Produce accurate monthly invoicing for 3PL services
Workforce Administration
- Manage staff rotas, holiday tracking and monthly payroll reporting
- Lead monthly team updates and communicate operational performance
- Support recruitment, onboarding and training of warehouse staff
Processes & Compliance
- Develop and maintain warehouse process documentation and training guides
- Ensure health & safety procedures, training and risk assessments are up to date
- Conduct regular compliance checks across the warehouse
About You
- Highly organised with strong administrative and operational skills
- Experience in warehouse, logistics or fulfilment operations at a senior level
- Comfortable managing complex inventory systems and operational data
- Highly competent on excel
- Strong communicator who can coordinate between teams, directors and external partners
- Proactive problem-solver with strong attention to detail
- Excellent multi-tasker who thrives in a busy environment.

Working hours
Monday to Friday 8am-5pm with occasional weekend work
42.5 hours per week
