We are seeking a proactive and detail-oriented Operations Assistant Administrator to join our dynamic team. Key Responsibilities
Logistics Administration
- Process and coordinate third-party deliveries, ensuring accurate and timely administration.
- Prepare and maintain transport documentation for UK and European deliveries.
- Provide administrative support to the Transport function and assist with transport cover when required.
- Monitor delivery schedules and liaise with carriers to resolve delivery queries.
Administration & Finance
- Process depot invoices accurately and within agreed timescales.
- Maintain accurate operational records, filing systems and documentation.
- Support ISO compliance by ensuring documentation is current and correctly maintained.
- Update internal systems and databases with accurate operational information.
Quality & Warranty Administration
- Log and administer non-conformance reports (NCRs) and warranty claims.
- Liaise with suppliers and internal departments to obtain information and support investigations.
- Track outstanding quality issues and ensure corrective actions are completed.
Customer & Supplier Support
- Respond to customer and supplier enquiries in a professional and timely manner.
- Support the Customer Service team with Original Equipment (OE) orders and related administration.
- Build positive working relationships with customers, suppliers and internal colleagues.
Stock & Systems
- Assist with planned stock checks and investigate stock discrepancies.
- Maintain and update the TSS Portal and other operational systems.
- Produce reports and update spreadsheets to support the Operations team.
- Assist in identifying and implementing improvements to administrative processes.
General Operations Support
- Provide day-to-day administrative support to the Operations team.
- Assist the Sales team with operational administration when required.
- Provide cover for colleagues during holidays and sickness absence.
- Support departmental projects and continuous improvement initiatives.
- Undertake any other reasonable duties appropriate to the role, as requested by the Operations Manager.
Experience
- Prior office experience demonstrating familiarity with administrative tasks and office procedures
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with data entry, clerical work, and managing digital records efficiently
- Excellent organizational skills with the ability to prioritize tasks in a fast-paced environment
- Demonstrated professionalism in phone etiquette and customer service interactions

Pay: £25,500.00-£26,000.00 per year
