This is first and foremost a general administration role. As Project Administrator, you’ll provide practical day-to-day office and administrative support across our Project Delivery team, helping colleagues stay organised and ensuring routine activities are completed accurately and on time. Your work will include reception cover, meeting support, correspondence, filing, record keeping, tracker updates and other general administrative duties.
Alongside these core administrative responsibilities, you’ll assist with project documentation, route sheets, work packs, reporting and close-out activities. Full guidance will be provided for process-specific tasks, and you’ll work closely with the relevant technical colleagues whenever clarification is needed.

You’ll be comfortable balancing routine office duties with changing team priorities, keeping accurate records and taking ownership of the administrative details that help the workplace run smoothly. You’ll communicate confidently with different disciplines and know when to resolve a query yourself or escalate it to the appropriate colleague.

- Provide a broad range of day-to-day general administrative support to the Project Delivery team and wider office.
- Support meetings by arranging rooms and invitations, preparing agendas, taking clear minutes and following up actions.
- Maintain folders, trackers, records, contact lists and routine correspondence, ensuring information is accurate and up to date.
- Coordinate information and communicate professionally with colleagues, clients, suppliers and subcontractors.
- Provide flexible administrative cover across the team during annual leave, absence and periods of increased workload.
- Assist with the preparation and coordination of project route sheets, work packs and other controlled documentation, including printing, collation and distribution.
- Support project and security-related packs through review, approval, issue and return, maintaining trackers and following up missing or overdue information.
- Process returned packs in line with agreed procedures, including separating relevant health, safety and environmental records and updating associated trackers.
- Scan, index, upload, issue, file and retrieve documents using approved document management systems, ensuring records are accurate and easy to locate.
- Support the collation of as-built, handover and project close-out documentation, and help improve templates, filing systems and administrative ways of working.
- Strong organisational and administrative skills, with a methodical approach to tasks.
- Excellent attention to detail and pride in producing accurate work.
- Clear, professional written and verbal communication skills.
- Confidence using Microsoft Word, Excel, Outlook and Teams, or the ability to learn quickly.
- The ability to manage several tasks, ask questions and meet agreed deadlines.
- A positive, proactive and professional approach, with a willingness to help others.
- A collaborative approach and genuine interest in supporting project delivery within engineering, construction or the energy sector.
