Job Summary: We are seeking an Administrator and Projects Officer to play a key role in supporting the smooth day-to-day running of the organisation, while also contributing to the planning, delivery and promotion of our projects and activities.
This is a varied role for someone who is highly organised, proactive and enthusiastic about improving systems. The successful candidate will help ensure that our administrative systems are effective and well maintained, provide a welcoming first point of contact for visitors and clients, and support the delivery and promotion of our projects and events.
Key Responsibilities
Administration (approx 40%)
● Provide day-to-day administrative support to the team.
● Maintain accurate and up-to-date service user and organisational records.
● Assist with forms, documents, filing systems and databases.
● Arrange and support team and Board meetings, including taking minutes and recording actions.
● Manage incoming and outgoing post, mail and packages.
● Monitor office supplies and equipment and ensure stocks are maintained.
● Assist with general administrative tasks as required.
Project Support (approx 30%)
● Provide administrative and practical support for projects, events, and workshops including coordinating with artists/performers.
● Assist with planning and coordinating activities and events.
● Assist the team in creating engaging social media content to promote projects, activities and events.
● Assist with gathering photographs, information and other content for communications.
● Support the team with collecting project records and feedback.
● Provide additional project and administrative support when required.
● Help manage youth sessions timetable
● Send information out to parents and carers
Reception (approx 20%)
● Provide a friendly and professional welcome to visitors, clients and partners.
● Answer incoming calls and respond to general enquiries.
● Direct visitors to the appropriate person or meeting space, prepare refreshments for visitors and meetings.
● Coordinate room hire and facility bookings.
● Help ensure visitors and clients have a positive experience.
General Duties (approx 10%)
● Help maintain a clean, tidy and welcoming environment.
● Work in line with organisational policies and procedures.
● Contribute to creating an inclusive and welcoming environment for everyone.
● Attend occasional evening or weekend events where required.
Skills and Experience
Essential:
● Experience in administration, coordination, customer service or a similar role (or demonstrable transferable experience).
● Good standard of written and numerical communication, with the ability to understand and produce clear written information and carry out routine calculations.
● Strong organisational skills and attention to detail.
● Good working knowledge of office software including Google Workspace, Excel and Microsoft Office.
● Strong written and verbal communication skills, with confidence liaising with colleagues, artists, participants and external contacts.
● Able to handle phone calls, write clear emails, and communicate professionally with staff and clients.
● Able to adapt to changing priorities and manage competing demands effectively.
● A friendly, professional and proactive approach.
● Ability to work independently and as part of a team.
● Enthusiasm and willingness to learn.
Desirable:
● Experience working in the arts, culture, charity or community sector.
● Experience supporting events or projects.
● Experience creating social media content.
● Experience of assisting with online bookkeeping
Working Arrangements
The role will occasionally require evening and weekend work to support events and activities, with some flexibility to increase hours during particularly busy periods.
