About Dolphin House Surgery
Dolphin House Surgery is a long‑established, supportive and patient‑focused GP practice at the heart of the Ware community. We pride ourselves on delivering high‑quality, compassionate care to our 16,500 patients and on fostering a positive working environment where every team member feels valued. As a training practice with a proactive approach to innovation, quality improvement and collaborative working, we are now looking for an organised, efficient and motivated Administrator / Secretary to join our team at Dolphin House Surgery.
The successful candidate will undertake a wide range of secretarial and administrative duties, providing high-quality support to our multidisciplinary clinical and non-clinical teams and helping to ensure the smooth and efficient running of our services.
Key Responsibilities
The role will include:
· Processing electronic and paper-based information accurately and in a timely manner.
· Managing secretarial tasks and referrals received through SystmOne, including SystmOne tasks.
· Processing referrals using the Electronic Referral Service (e-RS) and other external referral and booking systems.
· Liaising effectively with clinical and non-clinical colleagues, patients, local hospitals, secondary care teams, community services and other healthcare providers.
· Managing correspondence and ensuring information is directed to the appropriate person or service promptly.
· Requesting patients' paper medical records from RESTORE off-site storage, including records required for return to PCSE following patient deductions and for the completion of insurance reports.
· Prioritising and managing a varied workload while ensuring administrative and secretarial tasks are completed accurately and within required timescales.
· Providing additional administrative support and cover during periods of staff holiday, training and other absences when required.
Skills and Experience
Applicants should have:
· Excellent administrative and organisational skills.
· Accurate and efficient typing skills.
· Good written and verbal communication skills.
· The ability to prioritise and manage a busy and varied workload.
· The ability to work effectively as part of a multidisciplinary team and independently when required.
· A good understanding of medical terminology, which is essential for this position.
· Professionalism and discretion when dealing with confidential and sensitive patient information.
Previous knowledge or experience of SystmOne, e-RS and the Choose and Book system would be advantageous; however, training can be provided where appropriate.
Pay: £12.71 per hour
