Job Description
Collective Property Co is a rapidly growing property management company providing free-hold management, block management, lettings and management services across a varied residential portfolio.
Due to continued growth, we are looking to appoint an experienced Head of Block Accounts to lead our service charge accounts function and oversee the day-to-day work of the block accounts team.
The successful candidate will take responsibility for the accurate and timely preparation of service charge accounts, financial reporting, reconciliations and client money controls. You will also manage and support the accounts administration team responsible for invoice pro-cessing, supplier queries, payment runs and historic account balances.
Key Responsibilities
- Leading and managing the block and service charge accounts team.
- Preparing, reviewing and finalising annual service charge accounts.
- Ensuring accounts are completed within the required timescales and avoiding expo-sure under Section 20B of the Landlord and Tenant Act 1985.
- Reviewing monthly accruals, prepayments and financial reconciliations.
- Producing and reviewing bank, supplier, control account and client money reconcilia-tions.
- Reviewing service charge expenditure against approved budgets.
- Investigating and explaining significant budget variances.
- Supporting property managers with service charge budgets and financial forecasting.
- Working with property managers and developers to ensure accurate and complete financial reporting.
- Analysing and reconciling financial information received from previous or incoming managing agents.
- Managing the year-end accounts process and liaising with external accountants and auditors.
- Attending internal,internal, client and auditor meetings to resolve queries and finalise ac-counts.
- Reviewing supplier invoices, payment run proposals and statement reconciliations.
- Overseeing the allocation and posting of block, lettings and intercompany invoices.
- Ensuring historic balances and unreconciled transactions are investigated and cleared.
- Monitoring the performance, workload and development of the block accounts team.
- Improving accounting processes, controls and reporting across the department.
- Ensuring client funds are handled accurately and in accordance with relevant legisla-tion, professional guidance and company procedures.
- Responding to leaseholder queries.
Skills and Experience
- Strong experience in residential service charge accounting.
- Proven ability to prepare and review service charge accounts accurately and within deadlines.
- Good understanding of the Landlord and Tenant Act 1985, Section 20B requirements and relevant RICS and TPI guidance.
- Strong knowledge of accruals, prepayments, budgeting and financial reconciliations.
- Experience managing or supervising an accounts team.
- Ability to manage a high-volume, multi-entity property portfolio.
- Strong Excel skills and experience using accounting software such as Xero.
- Confident reviewing supplier statements, payment runs and historic account bal-ances.
- Excellent attention to detail and a strong understanding of client money controls.
- Ability to communicate financial information clearly to property managers, clients, developers and auditors.
- Organised and able to prioritise competing deadlines.
Desirable Experience
- Experience using Resident property management software.
- Experience working within a block management or managing agent environment.
- Experience with intercompany invoicing and multi-company accounting.
- Previous involvement in improving finance systems and procedures.
- Experience managing handovers between managing agents.
Pay: £40,000.00-£60,000.00 per year
