CLUB RECEPTIONIST

THE ROLE
The Club Receptionist is the first point of contact for everyone arriving at the club's back-of-house administrative building, including staff, job applicants, contractors, suppliers, delivery drivers and other working visitors.
The role holder ensures the administrative office runs smoothly day to day — managing arrivals, calls, post, meeting rooms and general office administration — so that colleagues across HR, finance, operations and management can work without interruption.
This is an administrative front-of-office role, club members are welcomed separately through the main clubhouse reception. The role will include some member liaison through the management of external telephone calls.

KEY RESPONSIBILITIES
Front of house (staff & visitors)
- Greet and sign in all staff, job applicants, contractors, suppliers and other working visitors to the administrative building.
- Issue visitor passes and maintain an accurate visitor/contractor log in line with site security and health & safety requirements.
- Notify the relevant staff member of arrivals and manage waiting arrangements for interviews, meetings and contractor call-outs.
- Act as the first point of contact for deliveries and couriers to the administrative office, directing them appropriately.
Switchboard & correspondence
- Answer and direct incoming calls to the club switchboard, taking messages where required.
- Manage incoming and outgoing post and courier items, including franking, logging and distribution to departments.
Office administration
- Coordinate bookings for meeting rooms and shared office spaces, resolving diary clashes where they arise.
- Maintain the administrative office in a tidy, organised and professional condition, including communal and meeting areas.
- Monitor and order office supplies and stationery and liaise with suppliers on routine office consumables.
- Maintain accurate records in line with the club's data protection and GDPR policies, including secure handling of applicant and contractor information.
- Assist with basic facilities coordination, such as logging maintenance requests and liaising with facilities/maintenance staff.
- Ensure compliance with site health & safety and fire evacuation procedures, including maintaining an up-to-date record of who is in the building.
- Provide ad hoc administrative support to other departments as required.

Office-based 5 days Mon - Sun.
THE IDEAL CANDIDATE
Essential
- Previous experience in a reception, front-of-house, or administrative support role.
- Excellent telephone manner and written communication skills.
- Strong organisational skills with the ability to manage multiple tasks and interruptions.
- Competent user of Microsoft Office (Outlook, Word, Excel) and general office equipment.
- A professional, discreet and courteous manner, with an understanding of confidentiality when handling staff, applicant and business information.
- Reliable, punctual and comfortable working independently at a front desk.
Desirable
- Experience working in a hospitality, private members' club, or similarly professional environment.
- Familiarity with visitor management or sign-in systems.
