Position Overview:
Service Advisor / Administrative Assistant
Hours: Monday to Friday, 8:00am – 2:00pm (30 hours per week)
Required start date of 5th October 2026. With interviews taking place between 25th to 28th August 2026
We are seeking an organised, proactive, and reliable Service Advisor / Administrative Assistant to join our independent garage. This is a varied and hands-on role that sits at the heart of our business, supporting both our customers and our technical team to ensure the smooth and efficient running of daily operations.
As the first point of contact for many of our clients, you will play an important role in delivering a professional and friendly customer experience, while also providing essential administrative support to management and workshop staff. Working within an independent garage means the role will naturally span many aspects of the business, requiring flexibility, initiative, and a strong attention to detail.
The ideal candidate will be confident communicating with customers and colleagues, highly organised, and capable of managing multiple tasks in a busy environment. A positive attitude, willingness to learn, and commitment to maintaining high standards are essential.

Key Responsibilities:
- Purchase Order Processing: Manage and process purchase orders accurately, ensuring timely acquisition of necessary parts and supplies.
- Service Scheduling: Book vehicles for MOT and repair services, maintaining an organized and effective scheduling system.
- Customer Communication: Answer incoming telephone calls, assisting clients with inquiries, delivering quotes, job updates and providing general support.
- Filing & Organization: Assist with filing tasks, maintaining both physical and digital records for easy access and organization.
- Service Reminders: Verbal and written reminders to clients for upcoming services, ensuring ongoing customer engagement and satisfaction.
- Supplies Management: Order office stationery and other supplies, monitoring stock levels and preventing shortages.
- Document Handling: Scan and upload documents to the internal server, ensuring that records are well-documented and accessible.
- Payment Processing: Take card payments, including managing parts and surcharge returns to suppliers when necessary.
Requirements:
- Previous experience in an administrative role (experience in automotive or technical service sectors is a plus)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication abilities
- Ability to multitask and prioritize workload effectively
- Familiarity with basic office software (Microsoft Office, etc.)
- A proactive and customer-focused attitude
