Working 33.75 hours per week, you will be responsible for providing administrative/reception support to medical team at Braeburn House. From managing their diaries, planning meetings to updating records, you will be able to turn your hand to any admin related task.
This position is a dual role, working as the part time Medical Secretary, you will work alongside the Registered Clinicians assisting with confidential paperwork, service users records and GP letters. You will liaise with external agencies to get up-to-date information on service users and GP letters.
As our part time Receptionist, you will play an essential role in creating a professional, friendly and supportive experience for everyone who visits the hospital. You’ll ensure all visitors are greeted politely, directed appropriately, and that the relevant staff are informed of their arrival promptly and efficiently.

As a Medical Secretary/Receptionist you will be:
- Supporting the Registered Clinician with letters and general documentation
- Supporting all meetings as minute taker as requested chaired by the Medical Director, SMT or ad hoc.
- Receiving and record typing, checking, and amending for spelling and grammatical errors, completing within given deadlines
- Participating in the administration, development and evaluation of regulatory matters
- Coordinating the hospital diary and the whereabouts of the clinicians
- Booking in meetings
- Arranging Conference Calls
- To be the first point of contact for staff and visitors at reception, answering inbound calls promptly and professionally
- Transferring calls to the relevant staff or taking messages, passing these along to the relevant staff in an efficient and timely manner
- Ensuring that all visitors sign in to meet the requirements of health & safety and are provided with visitors passes so they can be identified as visitors to the hospital
- Ensuring that visitors leaving site have signed out so that hospital staff are aware they are no longer on site
- Ensure that all keys and alarms are allocated and signed out to staff and signed back in at the end of shift/visit. Ensuring that the key management paperwork is accurately completed so that key management can be evidenced for regulatory purposes
- Ensure all visitors to the Hospital read and sign the contraband item list
- Complete radio response checks daily to ensure that compliance with radios are adhered to
To be successful in this role, you will have:
- IT skills including Microsoft Office
- Experience of audio typing
- Communication and organisational skills
- A minimum of 4 GCSEs or equivalent
- Knowledge of Mental Health and medications
- Ability to manage stressful situations
- Demonstrated ability to always maintain confidentiality
- Accuracy, efficiency, timeliness, and diligence are displayed in the accomplishment of all assigned duties with a minimum of direct supervision

You will be working at Braeburn House, a modern purpose-built rehabilitation and recovery service for males suffering from a primary diagnosis of a Mental Health illness that have already progressed in their journey of recovery but still require further support and intensive interventions.
