About Spectest UK
Spectest UK Ltd is a growing independent construction materials testing and site investigation company, providing laboratory and on-site testing services to clients across the construction and civil engineering industries.
As the business continues to grow, we are looking for an experienced Office Manager to take ownership of the day-to-day running of our office and administrative function.
This is an important position within the company. We aren’t looking for someone who simply waits for tasks to be given to them — we’re looking for someone organised, confident and proactive who can take responsibility for making sure the office runs properly.
The Role
As Office Manager, you’ll work closely with the Managing Director, General Manager and Operations team and will be responsible for keeping the administrative side of the business organised and running efficiently.
You’ll become a central point of contact within the company, making sure enquiries are dealt with, paperwork is completed, information reaches the right people and outstanding actions are followed through.
Key Responsibilities
- Managing the day-to-day running of the office
- Overseeing and supporting the administration function
- Ensuring incoming calls, emails and client enquiries are dealt with promptly
- Helping coordinate bookings and communicating information between clients, office staff, technicians and management
- Monitoring outstanding actions and making sure they are followed through
- Maintaining accurate company records and documentation
- Managing purchase orders and assisting with invoicing and accounts administration
- Assisting with credit control and outstanding client paperwork
- Maintaining staff holiday, absence and personnel records
- Keeping training and competency records organised and up to date
- Overseeing vehicle and general company administration
- Supporting management with reports, meetings and business information
- Helping improve office systems and processes as the company grows
- Identifying problems and taking ownership of resolving them rather than waiting to be asked
- Providing general support to the Managing Director and General Manager when required
Who We’re Looking For
Previous experience in construction, engineering or materials testing would be useful, but is not essential.
We’re much more interested in finding someone with the right attitude and ability.
You should be:
- Highly organised and comfortable managing multiple priorities
- Confident dealing with staff, clients and senior management
- Proactive and able to work without constant supervision
- Comfortable taking responsibility and making decisions
- Good at spotting when something hasn’t been done and following it through
- Professional and confident on the phone and by email
- Strong with Microsoft Office and general computer systems
- Able to work in a busy environment where priorities can change quickly
- Someone who takes pride in keeping things organised
- Reliable, approachable and professional
Previous experience as an Office Manager, Senior Administrator, Business Support Manager, Operations Administrator or similar would be beneficial.
