Job Description:
Wine Events Scotland is an award-winning Edinburgh events company behind some of Scotland's best-loved wine experiences — including Edinburgh Uncorked Wine Festival and Fizz Feast, the UK's largest consumer sparkling wine festival. We run everything from intimate 20-person workshops to trade tastings and festivals with several hundred guests, working with wineries, importers, retailers and sommeliers from around the world.
The company is owned and run by Diana Thompson, an award-winning wine communicator with over 30 years' experience in the wine and hospitality industry. Diana is also a weekly wine writer for The Sunday Post and one of the UK's leading independent wine educators.
We're looking for a highly organised Operations & Events Coordinator to take on the operational backbone of the business, enabling Diana to focus on presenting, partnerships and growth. This is a hands-on, varied role — you won't be selling or presenting events, but you'll be making sure everything behind the scenes runs like clockwork.
Responsibilities:
- Coordinate registrations, attendee lists and event documentation
- Plan event day schedules for our main events
- Liaise with venues, suppliers and exhibitors
- Prepare exhibitor information and event materials
- Provide on-the-day support at events
- Respond promptly to enquiries from customers, exhibitors, suppliers and partners
- Assist with Mailchimp newsletters, Wix website updates and social media scheduling
- Maintain customer and trade databases and keep digital records organised
Requirements:
- Strong administrative experience, ideally supporting events
- Proficient in Microsoft Excel
- High attention to detail and excellent written English
- Confidence juggling multiple projects and priorities
- Comfort working independently in a small team
- Experience with Mailchimp, website updates (Wix or similar) and Canva
An interest in wine, food or events would be an advantage, but wine qualifications are not required — enthusiasm, organisation and a positive attitude matter just as much.
