Transport Planner / Administrator
We are recruiting for a proactive and highly organised Transport Planner / Dispatch Coordinator to support our busy transport and dispatch operation. This role will play an important part in maximising vehicle utilisation, improving daily delivery planning, and ensuring customers receive a reliable and responsive service.

The Group supplies both retail and commercial flooring markets and has built a strong reputation for reliability, service and long-term customer relationships. Operating across multiple locations, the business combines local market knowledge with group-scale infrastructure across purchasing, logistics, finance, marketing, sales and operations.
Job Purpose
The Transport Planner / Administrator will support the smooth and efficient planning of customer deliveries within a busy flooring distribution environment. The role is responsible for planning and allocating customer orders to transport and drivers, confirming delivery requirements, maintaining accurate records, and ensuring customers are kept informed of any changes that may affect agreed delivery times.
Key Responsibilities
· Plan and allocate customer orders to appropriate transport routes and drivers.
· Monitor delivery progress and respond quickly to issues that could impact customer service levels.
· Liaise closely with Customer Service and Sales to ensure accurate order information is obtained before deliveries are scheduled.
· Communicate proactively with customers regarding delivery updates, changes, delays, or queries.
· Maintain strong working relationships with drivers, customers, and internal teams.
· Produce transport reports, delivery schedules, and operational information as required.
· Maintain accurate records, files, and documentation so information can be accessed quickly when needed.
· Manage multiple priorities and deadlines in a fast-paced distribution environment.
· Identify opportunities to improve transport efficiency, service delivery, and day-to-day operational processes.
· Support a culture of continuous improvement across the transport and wider operations team.
What We Are Looking For
· Previous experience in a Transport Planner, transport administration, logistics, distribution, or similar operational role.
· Good geographical knowledge of Northern Ireland and the Republic of Ireland.
· Strong communication skills with the confidence to liaise with drivers, customers, Sales, Customer Service, and wider operational teams.
· Good IT skills and experience using systems relevant to transport, planning, logistics, or administration.
· Excellent organisational skills with the ability to manage workload, multitask, and meet deadlines.
· High attention to detail, particularly when maintaining records, checking order information, and confirming delivery requirements.
· A proactive approach to problem solving with the ability to remain calm under pressure.
· Confidence to work under own direction while contributing positively to the wider team.
· A customer-focused mindset with a commitment to providing efficient, professional service.
· A willingness to identify improvements and support better ways of working across the operation.
Success in the Role
· Customer orders are planned accurately and allocated to the correct transport routes and drivers.
· Delivery schedules are efficient, realistic, and support strong fleet utilisation.
· Customers, drivers, Sales, and Customer Service receive clear and timely communication.
· Delivery issues are identified early, managed calmly, and resolved with minimal disruption to service levels.
· Records, reports, schedules, and operational information are accurate, up to date, and easy to access.
· Deadlines and service expectations are consistently met to the required standard.
· The role holder demonstrates initiative, accountability, and confidence when managing daily workload.
· Strong working relationships are maintained across the business, supporting a positive and efficient operation.
· Opportunities to improve transport planning, customer updates, and service delivery are actively identified and acted upon.
