Deputy Executive Assistant Opportunity with the Civil Works Alliance (CWA), Supporting Sizewell C
As part of the CWA (Civil Works Alliance), you will support the building of Sizewell C. Sizewell C will be a 3.2-gigawatt power station generating low-carbon electricity for around 6 million homes and will play a key role in our energy future, supplying reliable, clean electricity for at least 60 years. This role will be within the CWA Wide Section.
What will you do?
The Deputy Executive Assistant provides high-level administrative, organisational, and operational support to Programme Director. Acting as the deputy to the Executive Assistant, the role ensures the smooth and efficient management of executive activities, maintains continuity of support during periods of absence, and contributes to the effective running of the wider business function.
Principal Accountabilities, Activities and Decisions
- Provide comprehensive Executive Assistant support to Programme Director, managing complex and frequently changing diaries, priorities and commitments.
- Coordinate internal and external meetings, ensuring agendas, papers, actions and meeting logistics are prepared and managed effectively.
- Arrange domestic and international travel, accommodation, transport and associated itineraries.
- Screen, prioritise and manage correspondence, emails and communications on behalf of allocated leaders.
- Maintain action trackers and ensure timely follow-up of key actions, decisions and commitments.
- Organise site visits, stakeholder events, workshops, leadership meetings and team engagement activities.
- Build and maintain effective relationships with internal and external stakeholders at all levels.
- Act as a central point of contact for the leadership team, ensuring efficient communication and information flow.
- Support onboarding activities for new starters, including induction planning, IT requests and meeting schedules.
- Manage confidential and commercially sensitive information with the highest level of professionalism and discretion.
- Maintain accurate electronic filing systems and records in accordance with company policies and information management requirements.
- Assist with procurement, purchase orders, expenses, invoices and budget tracking as required.
- Support recruitment activities including interview scheduling, candidate coordination and onboarding administration.
- Coordinate team communications, announcements and engagement initiatives.
- Provide support for wider business administration activities and special projects as required.
- Develop and maintain effective administrative processes that drive efficiency and continuous improvement.
- Deputise for Executive Assistants or Team Organisers during periods of absence or peak workloads.
What are we looking for?
Knowledge & Skills
Essential
- Previous Executive Assistant or Senior Personal Assistant experience supporting senior leaders.
- Excellent diary and calendar management skills.
- Strong stakeholder management and communication skills.
- Experience managing confidential information.
- Advanced Microsoft Office 365 skills, including Outlook, Word, PowerPoint, Excel and Teams.
- Exceptional organisational skills with the ability to manage multiple priorities simultaneously.
- Strong attention to detail and ability to produce high-quality documentation.
- Ability to work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Experience working within a complex project or corporate environment.
