Job Summary
Lincs Injury Clinic is looking for a friendly, organised and proactive Client Care & Clinic Coordinator to support our growing team.
This is a varied role that combines client care, administration, technology, organisation and operational support. No two days are the same.
You'll play a key role in helping our clients receive an excellent experience from their first enquiry through to ongoing care.
You'll help oversee our AI enquiry systems, support appointment bookings, assist with clinic organisation, and ensure our therapists have everything they need to deliver outstanding service.
We're looking for someone who genuinely enjoys helping people, communicates confidently, takes pride in being organised, and isn't afraid to learn new systems and technology.
This is a brand-new role with opportunities to grow as the clinic continues to expand.
Hours
- Part-time position
- Initially 6–15 hours per week
- Flexible shifts available
- Typical shifts may include:
- 9:30am–12:30pm
- 1:30pm–4:30pm
- Other flexible hours between 8:00am–8:00pm
- Hybrid working available (clinic and home-based)

Lincs Injury Clinic is an award-winning health, rehabilitation and sports injury clinic based in Lincoln.
We help people move better, recover from injury, reduce pain and stay active through services including sports massage, rehabilitation, acupuncture, gait analysis, strength coaching and movement programmes.

ResponsibilitiesClient Care & Enquiries
- Monitor and oversee client enquires
- Check enquiries have received appropriate responses
- Ensure bookings have been completed correctly
- Follow up new enquiries by phone, email, text and WhatsApp
- Support clients with appointments and general questions
- Help maintain a high standard of client communication
Clinic Coordination
- Review clinic diaries within Cliniko
- Identify opportunities to optimise appointment schedules
- Help manage waiting lists and consultation bookings
- Support therapists with administrative tasks
- Assist with clinic events, promotions and campaigns
- Use your own initiatives with quieter hours
Administration & Organisation
- Process invoices and payments
- Chase outstanding invoices where required
- Maintain accurate client records
- Organise documents and reports (online)
- Conduct periodic audits and administrative checks
- Monitor website links and online booking systems
- Coordinate review requests and client feedback
Marketing & Communication
- Assist with social media scheduling and posting
- Support marketing campaigns and promotions
- Help maintain communication with existing clients
- Assist with client recall and reactivation campaigns
General Operations
- Support day-to-day clinic operations
- Help manage clinic supplies
- Assist with laundry runs
- Learn clinic services and treatment offerings
- Undertake training in clinic software and systems
What We're Looking For

You may have experience in:

Desirable Skills
- Experience using CRM systems
- Experience with social media platforms (fb and instagram, tik tok?)
- Knowledge of Cliniko, Go High Level / or similar systems
- Experience within healthcare, fitness or wellbeing sectors

After six months in the role, you'll have helped:
- Ensure enquiries are responded to quickly and accurately
- Improve appointment utilisation across the clinic
- Keep administrative processes running smoothly
- Support therapists and clients effectively
- Maintain excellent client communication
- Contribute to the continued growth of Lincs Injury Clinic
