Overview
We are seeking a highly organised and professional Lettings Administrator to join our team. This role is integral to ensuring the smooth operation of our lettings process, providing exceptional support to prospective tenants and landlords alike. The successful candidate will possess strong administrative skills, experience with property management systems, and excellent communication abilities. Duties
- Manage and maintain property listings using Alto or similar property management software
- Handle all aspects of data entry related to lettings, including tenant information, property details, and rental agreements
- Respond promptly to enquiries via phone, email, and in person, demonstrating professional phone etiquette at all times
- Organise viewings and coordinate schedules between tenants and landlords
- Assist with the preparation of tenancy agreements and related documentation
- Conduct regular administrative tasks such as conducting property audit to ensure they are complaint with safety certificates, processing work orders, liaising with contractors, tenants and landlords
- Upsell additional services or products where appropriate to maximise lettings opportunities
- Support the lettings team with general administrative duties to ensure operational efficiency
Experience
- Previous office experience is desirable, particularly within property management or lettings environments
- Familiarity with property management software is advantageous but not essential
- Proven experience in data entry and maintaining accurate records
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent communication skills, including professional phone etiquette
- Administrative experience demonstrating attention to detail and reliability
- Ability to upsell services tactfully to enhance client satisfaction and maximise revenue opportunities
