We are seeking a highly organised and detail-oriented Onboarding Systems Coordinator to join our growing team. This role is responsible for managing and coordinating onboarding processes through our HR and recruitment systems, ensuring a seamless experience for new starters while maintaining data accuracy and compliance.
This is an excellent opportunity for someone with strong administration and systems experience who enjoys working in a fast-paced environment and supporting the employee lifecycle.
Key Responsibilities
- Manage the end-to-end onboarding process for new hires across multiple departments.
- Coordinate pre-employment checks, including right-to-work documentation, references, and compliance requirements.
- Maintain and update onboarding, HR, and recruitment systems, ensuring all employee records are accurate and up to date.
- Generate contracts, offer letters, and onboarding documentation.
- Monitor onboarding progress and proactively follow up on outstanding actions.
- Act as the primary point of contact for new starters throughout their onboarding journey.
- Liaise with hiring managers, HR teams, IT, payroll, and other stakeholders to ensure a smooth onboarding experience.
- Produce onboarding reports and system data for management review.
- Support continuous improvement initiatives to enhance onboarding processes and system efficiency.
- Ensure compliance with GDPR and company policies when handling employee information.
You'll be a proactive and organised individual with excellent attention to detail and strong systems skills.
Essential Skills & Experience
- Previous experience in onboarding, HR administration, recruitment administration, or a similar coordination role.
- Experience working with HR, recruitment, or onboarding systems.
- Strong administrative and organisational skills.
- Excellent communication and stakeholder management abilities.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Ability to manage multiple priorities and work to deadlines.
Desirable
- Experience using Applicant Tracking Systems (ATS) or HR Information Systems (HRIS).
- Knowledge of employment compliance and onboarding best practices.
- Experience supporting recruitment or HR teams.
