Job Purpose
The SEND & Clinic Support Administrator provides high-quality administrative and coordination support to the SEND Lead Consultant while contributing to the effective day-to-day operation of the clinic. Working within a private ADHD and Autism service, the role supports the delivery of SEND services, coordinates communication with families, schools, and other professionals, and assists with the administration of SEND packages and associated processes.
In addition to these core responsibilities, the postholder will provide clinical administrative and reception support only where required to maintain service continuity, such as during periods of annual leave, sickness absence or other planned operational cover. These duties are secondary to the SEND function and will be undertaken as directed by the Operations Manager.
Key Responsibilities
Primary Responsibilities – SEND Administration
- Provide day-to-day administrative and coordination support to the SEND Lead Consultant.
- Coordinate school, home and other professional visits as required.
- Prepare correspondence, reports and other SEND-related documentation.
- Coordinate, attend and distribute minutes for SEND multidisciplinary team (MDT) meetings.
- Act as a key point of contact for families, schools and external professionals.
- Support the coordination and administration of Education, Health and Care Plan (EHCP) processes and associated documentation.
- Monitor referral pathways, report deadlines and action plans to ensure timely completion of reports and follow-up activities.
- Communicate with parents, carers and professionals in a professional, empathetic and timely manner, providing information on services, processes and next steps.
Secondary Responsibilities – Clinical Administration (Service Cover Only)
- Open and secure the clinic in accordance with organisational procedures and maintain a clean, organised and welcoming reception and waiting area.
- Provide a professional and friendly reception service, acting as the first point of contact for patients and visitors in person, by telephone and via email.
- Manage clinician diaries and patient appointments, including booking, amending and cancelling appointments using the Semble clinical management system.
- Manage incoming referrals, patient enquiries and correspondence, ensuring timely responses and the accurate preparation and distribution of clinical documentation, assessment reports and other communications.
- Maintain accurate electronic patient records and process incoming and outgoing documentation in accordance with GDPR, confidentiality requirements and organisational policies.
- Provide administrative support to clinicians to facilitate the efficient delivery of clinical services.
- Carry out general administrative duties including document management, scanning, filing, data entry and record maintenance.
- Work collaboratively with the wider multidisciplinary and administrative teams to support the effective delivery of services.
- Provide cross-cover for administrative colleagues during periods of annual leave or absence and contribute to the continuous improvement of administrative processes and service quality.
- Undertake any other duties commensurate with the grade of the post as reasonably requested by the Operations Manager.
Pay: £29,000.00 per year
